Seeking an Administrative Assistant to join the team at River Street School - Windsor, CT

Position Purpose

Under the direct supervision of the RSS Business Manager, the Administrative Assistant provides a wide variety of complex and confidential administrative support and services critical to the effective operation of RSS schools and programs. This position is designed to provide general support necessary to ensure efficient and effective operations and compliance with school and programmatic procedures across RSS. In addition, this position is designed to primarily support RSS Outreach Services. Consequently, this position will also directly report to the supervisor(s) of the RSS Outreach Services.

Essential Job Functions

  • Provides support to key business processes across RSS functional areas (e.g. processing of student contracts, physical checks/invoices received).

  • Assists in planning, scheduling, and providing organizational and individual staff support for policies, procedures, and other program needs.

  • Generates billing to support RSS

  • Coordinates annual reporting to the director of RSS, CREC Central and Student Services.

  • Assist with budget analysis of assigned programs.

  • Composes documents and correspondence for the purpose of requesting or providing information, confirming events, etc.

  • Generates departmental reports and analyzes data to provide insights for decision-making.

  • Assist departmental process improvement and efficiency initiatives.

  • Maintains and updates employee records, including personnel files, training activities and databases and applicable professional licensing

  • Assists in planning and coordinating employee training and development programs.

  • Answers telephone calls and provides information and assistance to callers.

  • Serves as liaison with CREC Central and statewide school districts

  • Coordinates and assists with the hiring and interviewing process.

  • Monitors office and programmatic supplies as needed

Knowledge, Skills and Abilities

  • Familiarity and confidence in participating in virtual meetings.

  • Knowledge of basic policies and procedures pertaining to business administration.

  • Ability to organize and prioritize work, problem solve, and to meet deadlines with only occasional instructions and minimal supervision.

Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, spreadsheets, and other office procedures and terminology.

Ability to handle multiple tasks and projects accurately and in a timely manner, with strong organizational and time management skills.

Ability to work effectively with a diverse group of individuals.

Comfortable with working independently with minimal supervision

Knowledge of principles and processes for providing exceptional customer service, including customer needs assessment and satisfaction.

Strong verbal, written, analytical, negotiating and interpersonal skills.

Ability to establish and maintain cooperative working relationships with others.

Strong skill set to use personal computers, spreadsheets, databases and software applications, including Google Drive and Microsoft Office products.

Ability to process paperwork accurately and in a timely manner, according to standardized procedures.

Ability to maintain confidentiality of information.

Ability to handle multiple tasks and projects accurately and in a timely manner, with strong organizational and time management skills.
