Summary The primary purpose of the position is to provide full administrative support to the Employee Occupational Health (EOH) program and involves implementing EOH administrative management programs and processes. PSA assists with a wide variety of administrative, technical, and clerical tasks essential to meet the requirements of the EOH program directives. The PSA provides procedural assistance in support of the EOH program collaborating with all other service lines to achieve desired outcomes. Responsibilities - Assisting with coordination of pre-employment/courtesy physicals and all attendant logistical requirements such as ensuring all Human Resource forms completed and available pre and post Physician exam, employee instructed in completion of lab or imaging when indicated, management of outside records supplied by on boarding candidate, etc. - Assisting employees in interfacing with Human Resources point of contact for coordination of acute work related medical/injury issues. - Participating in coordination of the employee flu vaccine program to include tracking of completed vaccines (both internally and externally administered), entering into employee record, tracking completions on Excel, certifying exemptions, and reporting progress as requested to Medical Center Director, Quality, Safety and Value, etc. - Assisting with management of EOH surveillance programs such as Respirator, Tuberculosis, etc. This would include contacting employees and scheduling appointments when routine surveillance is due, tracking completion, and composing reports for committees and external review bodies such as Joint Commission monitoring performance - Monitoring EOH policies and procedures, circulating for review upon expiration, and routing appropriately for signature. - Assisting Community Based Outpatient Clinic (CBOC) staff with EOH issues such as coordination of on boarding physicals and on the job injuries to include logistical management of testing required in the community according to facility policy for EOH at the CBOCs. The SOP includes coordinating ordering of service with local vendor, 2237 purchase entry, scheduling of test, and tracking of results receipt. - Maintaining computer skills (e.g. Microsoft Word/Excel/PPT, CPRS, VisTA, VAE, VISIO, SharePoint, etc) and communication tools such as MS Outlook/Teams App, Vtel, WEBEX and VANTS Line. - Obtaining, tracking, and trending data using Microsoft Excel and operating web-based software for data input. Retrieving and analyzing VSSC data related to EOH metrics. - Assembling and summarizing data, background information, and other materials into reports or presentation formats. - Reviewing the Unsigned notes and Incomplete encounter reports daily and ensuring completion with the EOH physician and RN. - Attaining and maintaining basic competencies in operation of the telephone communications and secure message systems. - Participating in activities sponsored by the Health Living Team and Employee Health outreach events such as Health Fairs. - Assisting the EOH physician with duties associated with chairpersonship of the Pharmacy and Therapeutics Committee, Performance Measure champion, and other committee responsibilities as they arise. - Incumbent will perform other duties as assigned by the supervisor. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: Manages appointments and schedules for clinic staff; Maintains a calendar of meetings and conference calls, to include scheduling, coordinating and keeping minutes of meetings pertaining to the service; Assists with coordination of pre-employment and courtesy physicals, ensuring all Human Resource forms are completed and; Assists staff nurse with management, ordering and tracking medication expiration dates. You will be rated on the following Competencies for this position: Attention to Detail Clerical Teamwork Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities.
