MD Anderson Cancer Center Administrative Assistant - Experimental Radiation Oncology in Houston, Texas

Job Specific Competencies/Key Functions
Faculty Support
• Provides administrative support for assigned faculty and labs including travel, calendar, expense reports, reimbursements via Concur, meeting coordination, biological material shipments, membership maintenance.
• Tracks, records and reconciles PRS expenditures and monitors spending for assigned faculty.
• Ensures Biosketches are current and accurate and maintains curriculum vitae in institutional format using FIS system for assigned faculty.
• Works with Grant team in processing grant applications, protocols, material transfer agreements and other documents related to grant programs.
• Creates and maintains files as required.
• Composes formal and informal correspondence.
Departmental Support
• Assists with procurement process for the department including placing purchase orders, contacting purchasing and/or vendor for product availabilities/pricing and coordinating receipt of goods with receiving facilities as necessary, reviewing order requisitions for accuracy/completeness/ability to process, following up with/providing feedback to customers regarding status of orders and on various procurement issues, processing return goods requests for return to vendor, maintaining accurate procurement records, inputting information into PeopleSoft, coordinating and distributing procurement data to faculty and management, approving/resolving invoice exceptions, and making necessary corrections to orders placed.
• Assists with ProCard functions for the department
• Coordinates, processes and maintains faculty research appointments for the department including personnel action requests and visa applications
• Coordinates departmental research seminars to include obtaining speakers from faculty and trainees, compiling speaker schedule, communicating with and arranging travel for speakers, securing room, ordering catering, setting up room, and escorting speaker if applicable.
• Serves as departmental backup Kronos Timekeeper.
• Provides assistance with mail distribution and other related duties as required.
Other Duties as assigned
• Acts as backup for other administrative assistants.
• Other administrative duties as necessary and assigned.
Education
Required: High school diploma or equivalent.
Experience
Required: Four years of administrative/secretarial experience. With preferred degree, no experience required. Must pass pre-employment skills test as required and administered by Human Resources.
