About You and This Role:

You will assist in the preparation, reporting and analysis of projects in the Engineering and Maintenance Organization. You will support project execution in alignment with the global project execution work process by performing many of the administrative tasks required for the smooth running of the project. You will be required to broadened technical skills in analytical/scientific methods or operational processes to perform a defined array of activities. You may act as an informal resource for team members with less experience.

Responsibilities:

  • Responsible for understanding and implementing the Project Coordinator Operating Discipline.

  • Assist in the placement of all purchase orders for the procurement of equipment and materials necessary to build the project asset.

  • Responsible for the quality control of the documents from the design disciplines and completeness of the packages.

  • Responsible for processing all project documentation in a timely fashion and ensuring consistency: Material Specification Transmittals (MST), Purchase Orders, Supplier Documents, Labor and Order Bills, Invitation to Bids, Scope Criteria Consistency Reviews and others.

  • Responsible for quality and timely issuance of labor contract packages which contain information necessary for bids and construction.

  • Responsible for ensuring all drawings, details and specifications are included, correctly billed-out and properly assembled for distribution of contract packages to the project team and construction contractors.

  • Provides the necessary support for Design, Procurement, and Construction activities which will help the smooth and timely execution of the project. This is done by demonstrating proficient job skills, knowledge, team work and quality performance in an efficient and professional manner.

  • Works closely with the project engineer to maintain a timely flow of documents throughout the project team.

  • Is the focal point for all project moves associated with assigned project.

  • Communicate and coordinate with site PDC (Project Document Coordinator) to assure documents meet their requirements and are added to the plant library.

  • Assist during project closure and the establishment of maintenance files.

  • Set up project distribution lists and rosters.

  • Is the contact for FileShare server requests for assigned projects.

  • Plans project meetings and special events

  • Creates Expense Reports in Concur

  • Is the Records Retention focal point for project team.

Required Qualifications:

  • A minimum of high school diploma or equivalent.

  • A minimum of two years of relevant experience.

  • A minimum requirement for this U.S. based position is the ability to work legally in the United States. No visa sponsorship/support is available for this position, including for any type of U.S. permanent residency (green card) process.
