As the office receptionist/secretary, you will help ensure the office runs smoothly and efficiently and support all staff in multiple areas. You will be the first point of contact by phone and in person so excellent communication and professional appearance are required and expected. Applicant must have strong clerical and administrative support skills. You will assist all office personnel and optimize workflows throughout the company. You must be able to keep personal and sensitive information confidential at all times. Basic secretarial responsibilities will include organizing and maintaining files, supplies, equipment, data entry, communicating with clients via phone, text, email, software and in person. The ideal candidate for the position will be able to prioritize tasks and is motivated to complete work with minimal supervision.
Responsibilities:\ Greet and welcome clients in a professional and friendly manner
Answer and direct phone calls to the appropriate person or department
Maintain a clean and organized reception area, desk and office overall
Schedule appointments and manage calendars
File and organize documents, both physical and electronic
Assist with administrative tasks such as data entry, photocopying and scanning
Provide administrative support to staff members
Handling incoming and outgoing mail and packages
Assist with event planning and coordination
Assist with social media
