Sales Administrator (Irvine, CA)

Job Summary

Performs order and quote entry into the ERP system in an accurate and timely manner; coordinates with operations on order schedules and changes. Sends order acknowledgements to customers and provides status updates. Manages customer returns. Assists outside sales team with product support, sales samples, market collarteral, etc. Reviews contract requirements and organizes flow downs as required. Updates CRM system as required to maintain accurate customer contact data. Assists Senior Sales Administrator in various tasks to ensure continuity and support of sales projects and personnel.

Examples of Essential Functions:

Responsibilities include, but are not limited to, the following:

  • Enters contract demand into the MRP system
  • Acknowledges/confirms contracts to customers
  • Coordinates scheduling with Operations
  • Initiate post-sales follow up communications as appropriate
  • Maintains friendly and efficient business relationships with all internal and external customers
  • Writes up sales orders, taking care to assure that all are entered accurately and in accord with established procedures
  • Enters quotes and associated attachments into M3 and Hubspot
  • Aids customers in the product selection process
  • Performs reviews of customer orders to ensure that Staco Systems meets all customer requirements of their contracts.
  • Reviews contract requirements and accepts or rejects them based on business capability and business requirements
  • Manages contract flow down of requirements among cross-functional team
  • Trains to complete and maintain accurate sales forecasts (Quote Log)
  • Trains to assist in customer escalation, when necessary
  • Trains to maintain reporting functions, on an ongoing basis; to include quotes, bookings and renewals
  • Trains to negotiate specifications, price, delivery and terms of sales

Education/training/experience:

  • Associates/Bachelors degree or minimum five (3) years related experience
  • Aerospace experience preferred
  • Strong background in customer service preferred
  • Ability to prioritize work and meet customer deadlines

Knowledge of:

  • Microsoft Office Suite
  • Working knowledge of CRM systems (HubSpot) preferred
  • Excellent verbal (phone) and written communication skills
  • Working knowledge of MRP systems (M3, SAP or other)
  • Organized and efficient with the ability to jump between several different tasks while maintaining accuracy and precision
  • Able to work and stay focused in a fast-paced environment with frequent interruptions

Physical Standards:

  • This position may require kneeling, bending, squatting.
  • Reach, stoop and lift office files, records or reports, typically weighing 20 pounds or less.

  • Sitting, standing, walking, and operating a computer workstation.
  • Travel is generally not required
