The Practice Manager (PM) serves as the Operations Manager for a given clinic location. The PM performs, supervises, and coordinates the work activity for their assigned sites. They collaborate and support team members to ensure a patient focused approach to care.

As part of the essential functions of this role, the Practice Manager:

  • Directly supervises Lead Patient Services Representative (PSRs). Works in collaboration with the Director of Practice Operations in leading, coaching, and developing staff. Supervises the overall operations of the clinic.

  • Addresses patient concerns, and code of conduct violations. The PM will investigate site specific Healthicity tickets and provide recommendations to clinic leadership team and present incidents during site huddles.

  • The PM will work collaboratively with our security team to de-escalate patients in crisis in an effort to reduce patient discharges.

  • Works collaboratively with Director of Operations and other clinic leadership to develop onboarding, and annual trainings tools. Will be required to travel across locations to support training initiatives and roll outs.

  • Monitors and reviews patient charts to ensure that PSR’s are adhering to all

    scheduling, registration, and patient care protocols. Provides feedback and retraining to staff as needed.

  • Maintains the ability to perform all functions of the PSR/MA role and provides support and coverage as needed.

  • Monitors the volume of incoming and outgoing phone calls per employee through the use of phone metrics dashboards. In addition, monitors phone queues for both

  • nursing and front desk to ensure calls are being answered within a timely manner. In addition, the PM will complete call audits and provide results to clinic leadership.

  • Monitors and evaluates staff performance in accordance with the Performance Policy. Holds routine check ins to address progress towards achieving performance goals.

  • Assists with the onboarding process of medical providers, students, residents and, fellows and shadowing students.

  • Submits office and kitchen supply requests on behalf of Primary and Specialty Care.

    Qualified candidate will have a High School Diploma or equivalent (Associate’s degree preferred) with at least three (3) years’ experience working in a medical office. Candidate must have at least two (2) years of supervisory experience. Candidate must demonstrate excellent verbal and written communication skills, as well as interpersonal and customer services skills. Candidate will have a positive and team-oriented attitude with excellent customer services skills. Ability to handle sensitive material, maintaining the highest level of confidentiality and displaying sound judgment, essential. Candidate must have excellent organizational and time management skills and have high level of accuracy and attention to detail. Sensitivity toward cultural diversity, people living with HIV/AIDS and lifestyle and addiction issues essential.

    Required education/experience: High School Diploma or equivalent (Associate’s degree preferred) with at least three (3) years’ experience working in a medical office. Candidate must have at least two (2) years of supervisory experience
