What You Will Learn:
The CeraVe DMI (global team) is looking for a highly diverse administrative support for our Global General Manager. This position involves everyday contact with high level personnel, necessitating the essential use of tact, diplomacy, and sound judgment. Responsibilities include, but are not limited to, preparation of presentations (logistics and materials) to calendar & travel management and special project work as needed (team gathering organization, offsites, top management visit orchestration and management for e.g.).
This is an important role for the CeraVe DMI and for CeraVe teams around the world—70 countries and growing. The role reports into GM, for CeraVe DMI. Perform administrative tasks including: complex calendar management for internal and external meetings, manage domestic and international travel arrangements and arrange meetings
Manage daily schedules/calendars for GM.
Organize team meetings including management of attendees, booking location/AV equipment, and catering.
Draft internal and external memos, letters, agendas, meeting minutes and other general correspondence and distribute upon completion.
Maintain executives’ calendars, schedule all meetings and conference calls, field e-mails and phone calls requesting meetings, handle meeting conflicts and prioritization issues.
Plan and arrange international market integration & training visits:
Coordinate between country affiliate and GM to ensure all needs are met
Organize and communicate agenda of meetings/events, updating any changes to all participants
Schedule domestic and international travel, car service and hotel reservations (monitoring all necessary changes)
Plan group dinners (restaurant reservations & transportation)
Book meeting locations- organize AV equipment, catering, etc.
Track expenses & charges to be billed back accordingly
Create and manage Purchase Orders for team. Work closely with project managers to ensure timely confirmation of Goods Receipt and payments and with Finance on proper budget coding.
Arrange and prepare all aspects of international and domestic travel itineraries, including passport and visas.
Organize, prepare and submit timely multiple Travel and Expense reports
Navigate company’s resources and interface with various departments, on behalf of executives to collect information, respond to requests, and obtain services.
Establish and maintain organization of correspondence, documents and personal records.
Act as “office manager” for the team: organize and coordinate all team meetings, monitor and maintain product inventory, order office supplies, etc.
What We Are Looking For:
Required Qualifications:
Minimum 4 years’ experience in an administrative support to senior level management in a corporate setting.
Computer skills including Word, Excel, Outlook, PowerPoint and excellent written and verbal skills.
Strong interpersonal skills and ability to work effectively with peers, managers, and executives.
This position requires someone who possesses a high level of professionalism, can maintain confidential information and deal with senior level management (both US and International teams) with corporate maturity.
Ability to work with complex issues/details and communicate them in a simple, straightforward manner.
Ability to act and think independently with a high degree of professionalism and confidentiality.
Ability to handle multiple tasks/projects, concurrently, with tight deadlines.

Additional Benefits Information As Follows:
Salary Range: $90,000-$126,000 (The actual compensation will depend on a variety of job-related factors which may include geographic location, work experience, education, and skill level)
