Job Summary

The Enrollment Coordinator will apply professional expertise and over-sight in the ERSEA (Enrollment, Recruitment, Selection, Eligibility and Attendance) component, ensuring that the Early Learning programs comply with all regulations as applicable to and within the contractual Office of Head Start Program Performance Standards (HSPPS) and the Department of Education. This position requires a dedicated capacity to effectively analyze, assess, plan, manage and implement the Early Learning enrollment systems, as well as maintain the enrollment systems work plans. The Enrollment Coordinator will collaborate with all Early Learning Coordinators, Supervisors and the Early Learning Manager within the birth to five services to help plan and implement Family Engagement activities that align with HSPPS. The Enrollment Coordinator will effectively monitor and track all enrollment documentation through various data base tracking systems.

Essential Functions

  • Analyzes Community Assessment information and facilitate planning efforts to determine recruitment efforts and enrollment guidelines for Early Head Start (EHS) and Head Start (HS)
  • Works effectively with the Policy Council Enrollment/Selection Committee, as an advocate assuring accountability within the HSPPS
  • Works effectively with families seeking early education services and the community at large, specific to enrollment and program information. Retains integrity of systems to process enrollment applications, including determination of eligibility and selection criteria with accuracy and timeliness. Maintains systems, database, and files, ensures confidentiality and security of all data; submits accurate monthly reports within the Head Start Enterprise System, Early Learning monthly reports and annual Program Information Report (PIR)
  • Works in a highly professional manner in order to facilitate a positive experience for children and families specific to program enrollment, selection and family orientation processes. Ability to independently organize and prioritize work assignments and coordinate a variety of activities, with good attention to detail and ability to deal with conflicting priorities and deadlines
  • Requires considerable judgment in day-to-day situations, which includes research and investigation of problems and summarizes findings
  • Commits to the mission and vision of the Head Start/Early Head Start Program model, and in doing so honors and practices all applicable Head Start Program Performance Stands to ensure full compliance
  • Ensures compliance with Tribal, federal, state, and local employment laws and regulations, Tribal policies and TERO ordinance

Qualifications

Education

  • Associate's Degree in Early Childhood or Human Services or a combination of education and experience in a related field may be substituted for a degree

Experience

  • One year (1) of experience in client recruitment and selection in an enrollment setting
  • Requires knowledge and experience in date collection, information processes and systems, and policy and procedure compliance

License/Certification

  • Must have a valid Alaska State driver's license and must remain insurable under the Tribe's policy to conduct Tribal business
  • Must have Pediatric/Adult CPR and First Aid, or be obtained within 30 days

This position is a Covered Position subject to all requirements of the Alaska Barrier Crimes Act (ABCA) and to the Indian Child Protection and Family Violence Prevention Act, (ICPA). ABCA and ICPA requirements apply and must be complied with at all times in order to remain in the position.
