Nuclear Regulatory Commission Administrative Assistant in King of Prussia, Pennsylvania

Summary Position will initially be located in the Technical Support and Administrative Team (TSAT), Division of Operating Reactor Safety, Region I, but will later be reassigned to a Projects Branch to support assigned resident sites. Supervisor is Marc Ferdas, TSAT Team Leader. This position is in the Bargaining Unit with the National Treasury Employees Union, Chapter 208. This position is not subject to Confidential Financial Disclosure or Security Ownership Restriction reporting requirements. Responsibilities The successful candidate will serve as the principal administrative assistant to one or more branch chiefs of the Division of Operating Reactor Safety, performing the full range of administrative duties. Such duties include but are not limited to: Prepares letters, memoranda and reports in final form from drafts, entering them into ADAMS. Reviews and proofreads outgoing correspondence, reports, memoranda, etc., for grammatical errors, completeness, and conformance with the format, style and appearance required by the NRC, office or division procedures. Coordinates handling of controlled correspondence and action items and maintains up-to-date paper and electronic filing systems. Retrieves and screens incoming telephone calls and visitors. Coordinates the submission of time and labor input within assigned branches, ensuring all payroll units are completed and certified within established timeframes. When needed, may be required to enter and/or correct time for branch employees. Maintains appointment calendars for assigned resident offices, branch chiefs and division. Coordinates arrangements for meetings/conferences and prepares the site office for visits by Commissioners and NRC senior management. Allocates and maintains office supplies and inventory of NRC property, including office keys. Periodically conducts safe inventory to identify and dispose of outdated material in accordance with established safeguards guidelines. Requirements Conditions of Employment U.S. Citizenship Required This is a Drug Testing position. Background investigation leading to a clearance is required for new hires. You must meet the qualifications for this position by no later than 30 calendar days after the closing date of this announcement and before placement in the position. Selectees may be required to serve a trial period to assess their overall fitness and qualifications for continued employment. The trial period for new employees is two years. New employees who are preference eligible veterans serve a one-year trial period. Qualifications In order to qualify for this position, you must have at least one year of specialized experience at the GG-06 level in the Federal service or equivalent experience in the private or public sector. SPECIALIZED EXPERIENCE is defined as: Demonstrated experience performing a wide range of administrative and secretarial functions, such as preparing and proofreading correspondence, scheduling appointments, maintaining supervisor's calendar, arranging travel, etc. Experience in the use of office automation tools such as Microsoft Office 365 Applications, automated time keeping system, automated travel system, etc. A description of how you possess the specialized experience as well as how you meet the qualifications desired in an ideal candidate should be addressed in your resume. Knowledge of proper grammar, spelling, punctuation, and correspondence procedures sufficient to prepare correspondence of an administrative nature and review outgoing material for correctness, proper format, and completeness. Demonstrated proficiency with microcomputer-based word processing applications, including Microsoft Office (Word, Access, Excel, Outlook, PowerPoint), appointment calendars, emails, and other database applications that are used to maintain automated tracking systems. Demonstrated ability to work efficiently in handling multiple assignments with competing priorities, often under considerable pressure to meet deadlines. If a wavier is granted, the successful completion of a background investigation and favorable adjudication is required for continued employment. If you have resided outside the U.S. for an extended period of time, the agency may not be able to (1) grant the 145(b) waiver where the required investigation cannot be completed in a timely manner, or (2) achieve timely completion of the background investigation required for a security clearance.
