  • Welcome and interact with clients and visitors by phone and in person.

  • Answer incoming phone calls, route to appropriate team members.

  • Be the eyes and ears of the office, providing information, answering questions, and responding to requests.

  • Organize and coordinate office operations and procedures including identifying changes to workflow to improve efficiency.

  • Carry out routine checks to maintain shared office spaces, machines and equipment meet our safety and housekeeping protocols.

  • Coordinate onboarding items related to office space and work closely with building landlord to maintain inventory of building access cards for visitors, new and terminated employees, and fitness center waivers.

  • Oversee and order office supplies, stationary items, anticipating needs, re-stocking supply stations and inventory control.

  • Review office machines periodically and report maintenance issues.

  • Report and track building maintenance issues and escalate any pertinent issues to the manager.

  • Manage, sort, distribute incoming mail/deliveries, and prepare outgoing mail and packages.

  • Provide department administrative support such as coordinating document signatures, process shipping and mail needs, document organization, and maintain records and documents for related departmental tasks.

  • Perform work related errands as requested such as lunch pickup, mail drop off and/or pickup.

  • Assist in coordinating and executing meetings and events including maintaining conference room calendars and catering needs.

  • Prepare and distribute communications related to office events and information.

  • Perform other reasonably related tasks as assigned by management.

Basic Required Qualifications:

  • High School Diploma or GED

  • 5+ years’ experience in an Administrative Assistant/Support role

  • Proficient in Microsoft Office, with aptitude to learn new software and systems

  • Outstanding organizational and time management skills

  • Excellent verbal and written communication skills

  • Comfortable handling confidential information

  • Must be familiar with office equipment and applications (cloud-based phone system, postage meter, multifunction printers, communication monitors, etc.)

  • Must have reliable transportation to complete occasional errands

  • Must be able to work in a busy, often distracting work environment that is generally climate controlled.

  • Must be able to lift up to 20 pounds unassisted on a regular basis.

  • Must be able to sit for long periods of time.

  • Must be able to stand or walk for long periods of time.

Preferred Qualifications:

  • PA notary license

  • Experience developing internal processes/workflows
