Description

Robert Half's client is in search of a Front Desk Coordinator to join our team in Lafayette, CA. In this role, you will be the first point of contact for our clients and will be responsible for various administrative tasks. This role offers a contract to hire employment opportunity, making it an exciting chance to grow within our organization.

Front Desk Coordinator responsibilities:

• Greet visitors and handle incoming and outgoing mail, FedEx, and UPS shipments.

• Operate a multi-line phone system, answering calls promptly and directing them to the appropriate department.

• Perform data entry tasks, including entering expense receipts and updating customer records.

• Provide high-quality customer service, addressing customer inquiries and resolving any issues.

• Utilize Microsoft Word and Excel for various administrative tasks.

• Maintain an organized filing system for easy access to important documents.

• Handle email correspondence professionally and promptly.

• Manage the switchboard and handle 1-10 lines as needed.

• Process expenses and distribute incoming mail as required.

Requirements

Minimum of 2 years of experience in a similar role or in administrative assistance

• Proficient in using Microsoft Office Suite including Microsoft Excel, Microsoft Outlook, and Microsoft Word.

• Experience in answering multi-line phone systems, handling switchboards with 1-10 lines.

• Strong customer service skills and ability to interact professionally with all levels of staff and customers.

• Excellent interpersonal skills, with the ability to communicate effectively and clearly.

• Proven experience in data entry and the ability to perform data entry tasks with high accuracy.

• Experience in organizing files and maintaining an efficient filing system.

• Ability to process expenses and manage financial records.

• Experience in handling email correspondence professionally and efficiently

• Demonstrated ability to distribute incoming mail and coordinate deliveries with services like UPS and FedEx

• Ability to work in a fast-paced environment and prioritize tasks effectively

• High standard of ethics and professionalism

• Proactive approach to problem-solving and strong decision-making skills.
