The Time and Labor Coordinator is responsible for performing advanced technical steps necessary to review the gross wages for all domestic and/or international employees within the individual’s assigned contracts in accordance with all applicable Federal, State, Local, and international laws and related contractual agreements. The Time and Labor coordinator also provides training, guidance and direction to staff processing labor in accordance with departmental procedures and company policies. This is a remote-telework role. US Citizenship is required.
Principal Accountabilities
Reviews all system generated calculations to ensure gross wages are appropriate based on:
US Federal and state laws (all 50 states), International labor laws with multiple countries within Asia, Africa, Mediterranean, Middle East and Eastern Europe. Multiple and independent Collective Bargaining Agreements. Contractual requirements set by each customer. The McNamara O’Hara Service Contract Act and Company policy and procedures.
Works within defined processes and procedures, and in absence of these critical business tools, can contribute to documenting efforts.
Ensures wages are calculated based on the appropriate weekly, biweekly, 28-day monthly or calendar monthly timesheet frequency
Reviews data entry of timesheets and timesheet Corrections to ensure appropriate projects, accounts and pay types are used
Calculates weighted average overtime pay, differential pay, and premium pay
Reviews prorated gross wages for Hires, Rehires, Terminated employees and employees on FMLA
Guides staff on steps necessary to resolve issues found during the Time and Labor review process
Communicates directly with employees, managers and timekeeping admins to resolve questions and timesheet entry errors
Provides reports, analysis, timesheets and other supporting documents in response to audit requests; ensures supporting documents are accurate, complete and compliant with internal policy and various external regulations
Initiates demographic and timekeeping interface files, and file import of timesheet corrections:
Identifies and ensures errors are resolved before labor is processed, reconciles employee count and hours totals match between the timekeeping and labor system and provides documentation to Time and Labor Specialists to support balancing functions.
Trains and mentors new and existing staff
Assists Time and Labor Manager with posting labor and configuring and setup changes within the timekeeping system
Resolves timekeeping service tickets by creating and updating user profiles and diagnosing timesheet entry errors
Performs other duties as assigned
Knowledge, Skills & Abilities
Ability to analyze data and make accurate math calculations by adding, subtracting, multiplying, dividing, calculating percentages, and similar functions
Ability to quickly make decisions based on accurate and timely data analysis
Capable of working under pressure of deadlines and able to handle a high volume of work in a fast-paced environment, and must be able to prioritize multiple competing tasks
10-key by touch with a high accuracy rate
Intermediate Excel skills to include use of pivots and Vlookups
Knowledge of government contract work to include the Federal Acquisition Regulations (FAR) and Cost Accounting Standards (CAS)
Knowledge of Fair Labor Standards Act (FLSA)
Knowledge of project accounting concepts
Payroll/Timekeeping system experience (Preferred Deltek CostPoint version 7 or higher)
Experience & Education
Three (3) years of experience in Payroll/Timekeeping with a High School Diploma or equivalent; One year of related experience required with a Bachelor’s degree in a related field.
US Citizenship is required.
Preferred Skills or Experience:
Experience processing Payroll/Timekeeping for 1,500 or more employees with a large multi-state or international employer preferred
Six (6) hours credit in accounting-related courses or Associate’s degree in Accounting, Finance or related discipline preferred
Certified Payroll Professional (CPP) or Fundamental Payroll Certification (FPC) preferred
