Description
Robert Half is looking for a Human Resources Data Specialist. The Human Resources Data Specialist will be responsible for maintaining and managing critical HR systems and records, including but not limited to HRIS (ADP - Workflow Now), credentialing, I-9 verifications, and FMLA tracking. This position ensures that employee data, compliance records, and HR systems are accurate, up-to-date, and meet both legal and organizational requirements. Additionally, the role may provide support for various HR initiatives and programs.
Key Responsibilities:
HRIS (ADP) Management:
Administer and maintain the organization’s Human Resources Information System (HRIS), primarily ADP, ensuring accurate and current employee data.
Troubleshoot HRIS system issues and provide technical support to HR staff and other employees.
Conduct regular audits of employee records in HRIS, including new hires, terminations, time-off balances, FMLA usage, and other data updates.
Generate custom reports and provide data analysis from HRIS for HR leadership and other departments.
Recommend and implement HRIS functionalities to improve workflows and efficiency.
Credentialing:
Maintain credentialing and competency files for clinical staff, ensuring all certifications, licenses, and competencies are up-to-date.
Oversee the re-credentialing and re-privileging of licensed practitioners to ensure compliance with OIG and HRSA requirements.
Collaborate with HRIS and recommend improvements for credentialing file management.
I-9 Compliance and Employment Eligibility:
Manage the I-9 employment verification process to ensure compliance with federal regulations.
Perform regular audits of I-9 records and resolve any compliance issues.
Coordinate with hiring managers to ensure all documentation is complete and accurate within required timeframes.
FMLA Tracking:
Initiate FMLA notifications, forms, and tracking using HRIS.
Prepare reports and audits related to employee leave-of-absence data as necessary.
Data Tracking and Reporting:
Generate HR reports related to employee data, compliance metrics, turnover rates, and other key performance indicators (KPIs).
Provide insights and data to HR leadership for compliance reviews, grant applications, and organizational planning.
Other Systems Management:
Update HR documents in the PolicyTech platform to ensure access to the most current HR policies and procedures.
Assist with the implementation of new HR technologies and systems to improve efficiency and data management.
Additional Responsibilities:
Provide support for various HR projects and initiatives as needed.
Perform other duties as assigned to support HR and administrative services.
Requirements
Minimum Education and Experience:
3+ years of experience in Human Resources, with at least 1-2 years focused on HRIS or similar database administration.
Experience in credentialing, records management, or compliance-related functions is a plus.
Special Knowledge and Skills:
Proficiency in HRIS platforms (ADP preferred) or similar database systems.
Strong skills in Microsoft Office Suite (Word, Excel, PowerPoint).
Excellent attention to detail and organizational skills.
Ability to manage sensitive and confidential information with discretion.
Strong analytical and problem-solving skills.
