We are currently looking for an Executive Assistant to support our Chief Human Resources Officer within the Global Human Resources organization.

How you will contribute

  • Understands the annual business cycle and anticipates the executive’s needs regarding preparation for and scheduling of activities; manages the executive’s calendar; schedules meetings, calls, and other interactions based on the priorities of the executive; arranges travel; completes expense reports in a timely manner.

  • Understands business etiquette; interacts and works successfully with senior leaders of the organization's Board of Directors, Office of the CEO, TET Members, committees, customers and suppliers to ensure needs are addressed while balancing the executive’s other responsibilities and commitments; researches solutions to questions and responds independently to email and phone inquiries.

  • Manages the executive’s email and other correspondence, responding on behalf of the executive where appropriate, forwarding communications to appropriate staff to respond, or bringing the matter to the attention of the executive.

  • Develops an understanding of the executive’s work style and preferences; assumes responsibilities as requested by the executive.

  • Uses appropriate tools for required work; ensures that all documents produced for the executive are of the highest quality, accuracy, and completeness.

  • Knows the appropriate sources for needed data and gathers data for reports and analysis; prepares reports and analyses to assist executive with decision making.

  • Interacts effectively with all levels of employees throughout the company; works with the executive’s Leadership Team to ensure that business decisions are made in a timely fashion while balancing the executive’s other responsibilities and commitments.

  • Schedules Leadership Team meetings; arranges meeting space or virtual meeting tools; develops meeting agendas and ensures that participants are prepared for the meetings; ensures that any follow-up actions resulting from the meeting are documented and completed in partnership with the Chief of Staff.

  • Prepares documentation for payment of vendors, consultants, and suppliers; submits documentation and enters request for payments into accounting system; approves transactions; responds to inquiries from accounts payable and payees; may approve staff expense reports and other payment requests.

  • Understands the structure of the organization and maintains a strong network across departments; draws on network to answer questions, solve problems, and successfully execute responsibilities.

  • Demonstrates the highest level of confidentiality in execution of all responsibilities.

  • Performs other duties as required.

Qualifications and Skills

  • High school diploma/GED required. Associate degree or bachelor's degree preferred.

  • 10+ years of relevant work experience, or equivalent combination of training and experience. Industry experience preferred.

  • Strong skills in Microsoft Outlook, Word, Excel, or PowerPoint.

  • Excellent verbal and written communication skills

Note: this role is based out of Lexington, MA and is hybrid with a minimum of 5 days per month required on site in Lexington and/or Cambridge. There will be times, May through October when the expectation to be on site can average 10-14 days per month in both the Lexington & Cambridge locations.

U.S. Hourly Wage Range:

$40.38 - $63.46

The estimated hourly wage range reflects an anticipated range for this position. The actual hourly wage offered may depend on a variety of factors, including the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job. The actual hourly wage offered will be in accordance with state or local minimum wage requirements for the job location.

U.S. based employees may be eligible for short-term incentives. U.S. based employees may be eligible to participate in medical, dental, vision insurance, a 401(k) plan and company match, short-term and long-term disability coverage, basic life insurance, a tuition reimbursement program, paid volunteer time off, company holidays, and well-being benefits, among others. U.S. based employees are also eligible to receive, per calendar year, up to 80 hours of sick time, and new hires are eligible to accrue up to 120 hours of paid vacation.
