The Weapons Mission Services Division (WMS-DO) is seeking a highly skilled Operations Support Specialist to directly support training programs within the Facility and Compliance Training group (WMS-2). The primary core tasks of the position will support Associate Laboratory Directorate for Weapons Production (ALDWP), including deployed personnel working in the ALDWP facilities, with development and implementation of formal training processes, protocol and compliance programs in a highly complex and fast-paced work environment.

The Operations Support Specialist will report directly to the Training Protocol & Compliance Team First Line Manager (FLM). The selected individual will perform day-to-day training services and records management for ALDWP customer sets.

The selected candidate will be a dedicated expert in applying the various requirements and drivers compliantly. The successful candidates will support a highly interactive and cooperative environment in one or more of the following assignments:

  • Training Documents, Forms and Configuration Management

  • Training Records Management (RM-POC)

  • Training Protocol & Compliance processes

  • Program Oversight and Implementation

Responsibilities include, but not limited to:

  • Assisting customers, stakeholders and training department personnel to assure training programs meet customer needs, regulatory drivers and contractual requirements.

  • Researching complex training and education issues and recommending sound, practical solutions.

  • Learning Management System Administration as it relates to training records scope.

  • Managing ALDWP Training e-Records tool and tracking tickets from start to finish.

  • Maintaining compliant and high-quality training documents and records for diverse audiences.

  • Assisting with aspects of program and process management for training-related programs including but not limited to training records generation and training documents.

  • Assisting with aspects of training program compliance, including planning, prioritizing, and scheduling of training activities.

What You Need

Minimum Job Requirements:

Operational Functions

Demonstrated experience and knowledge of business activities in an operational environment, including familiarity with one or more of the following: program management, compliance practices, records management, training and qualification, and feedback and process improvement.

Training-Related Expertise

  • Experience developing, implementing, and maintaining training documents and records, both physical and electronic to ensure records and documents are preserved in repository and in accordance with policies and procedures.

  • Experience working with customers, stakeholders and regulators to assure training programs meet customer needs, regulatory drivers and contractual requirements and providing guidance in interpreting regulations and policies to ensure compliance.

Computer Skills/Business Systems

Knowledge of business and operations systems and standard software applications (i.e. Microsoft and Adobe products). Ability to quickly learn and adapt to use of LANL business systems (i.e. Oracle, UTrain, Issues Management, etc.). Ability to effectively manage multiple, complex and overlapping calendars.

Critical Thinking

Demonstrated experience and experience in conducting research, investigating alternative solutions, and recommending solutions on problems affecting facility operations and operational quality assurance.

Communication and Customer Service

  • Demonstrated experience and ability to conceptualize and communicate program requirements and detailed elements to both technical and non-technical personnel.

  • Demonstrated skill with interpersonal, written, and verbal communications as evidenced by internal and/or external interactions, seminars, briefings, and presentations. Exceptional customer service skills and the ability to provide clear, concise support and guidance to others in sometimes stressful situations.

  • Ability to interact professionally with all types of personnel, including external interfaces and executive management.

Program Development

Experience designing and/or developing training/education programs for a wide variety of target audiences. Proven success in implementing such programs as evidence through program materials and implementation schedules.

Education and Experience

Position requires an Associates Degree in a relevant field and 2 years of relevant experience or , an equivalent combination of education and experience directly related to the occupation.

Desired Qualifications:

Special Skills/Knowledge:

  • Knowledge of documentation and performing quality assurance checks, including document controls and records management.

  • Experience with local records management policies, practices, protocol and guidance.

  • Experience as an AP-01000 Preparer for training documents and/or familiar with formal preparation of documents and document control.

  • Familiarity with regulatory guidance and the implementation of requirements.

  • Familiarity with weapons manufacturing and/or nuclear facility operation training requirements.

Work Location: The work location for this position is hybrid and is located in Los Alamos, NM. Hybrid is defined as working partially onsite/partially offsite but within 2 hours ground commute of this location. All work locations are at the discretion of management and can change at any time with appropriate notice.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
