Los Alamos National Laboratory Professional Staff Assistant (Professional Staff Assistant 2) in Los Alamos, New Mexico

What You Will Do

We are looking for a motivated, professional, reliable, organized, and experienced individual to provide strategic and administrative support to the Space Science and Applications Group (ISR-1). This group performs fundamental and applied research in astrophysics, planetary science, space science, and nuclear physics in support of LANL's space-based treaty-monitoring mission. ISR-1 oversees the execution of more than $60M in technical work each year, working with diverse partners across the laboratory and nation in support of programs sponsored by a broad range of government stakeholders.

In this role, you will be the primary point of contact for our group, providing crucial operational, programmatic, and administrative support. The Professional Staff Assistant (PSA) will take guidance from the ISR-1 Group leader. This position will also work and collaborate across multi organizations in and out of our division. While working in a team environment, the successful candidate must also be able to work independently with minimal supervision, establish and balance priorities, be capable of handling personnel and sensitive matters with tact and discretion, to effectively support ISR-1.

You will provides professional level administrative support for business, operational, and/or programmatic activities for specialized functions, programs, and/or organizations. Specific duties of the position include but are not limited to the following:

  • Tracking contract commitments and procurements.

  • Executing procurements and, when necessary, seeking approval to acquire specific non-routine items (must be able to maintain Designated Procurement Representative qualification).

  • Coordinating logistics, scheduling, announcements, and administrative facilitation of business, operational, and/or programmatic meetings and/or conferences.

  • Assisting in tracking and reporting progress toward business, operational, and/or programmatic goals and objectives.

  • Maintaining a professional office atmosphere and demonstrate initiative, versatility, accuracy, tact, and professional discretion when dealing with sensitive matters and matters sensitive to both staff privacy and national security.

  • Providing expert calendar management for Internal and External collaborations by group leadership and staff project leaders by coordinating commitments.

  • Providing travel assistance and guidance to ISR-1 staff members, both domestic and foreign.

  • Interacting effectively with all levels of internal and external personnel, including networking with senior internal and external personnel.

  • Organizing, prioritizing, and following-through to completion on multiple tasks, under strict deadlines and changing priorities.

  • Handling different categories of sensitive information (such as PII and CUI) and/or classified matter.

What You Need

Minimum Job Requirements:

Administrative Support

Proven competence in providing high-level administrative support in a busy office environment, including interfacing with all levels of personnel.

Experience managing complex calendars.

Business Systems

Experience providing professional support for complex travel.

Knowledge of, and experience in, executing simple and complex procurements.

Communication

Excellent communication skills (interpersonal, verbal, and written).

Demonstrated ability to solve problems, develop solutions, and innovate business practices to ensure customer and sponsor satisfaction.

Planning and Coordination

Demonstrated experience coordinating high-profile meetings and events.

Demonstrated experience assuming responsibility for projects from inception to completion, including reporting on project results.

Demonstrated ability to maintain excellent quality in daily operational work, as well as the fine-tuned skills of organizing, prioritizing, and following through to completion of multiple projects.

Organization and Time Management

Demonstrated ability to work effectively and calmly under pressure of multiple deadlines, frequent interruptions, and changing priorities.

Demonstrated record of dependability and reliability as proven through good attendance and quality of work.

Education/Experience:

Position requires a Bachelor's degree and minimum of five years of related experience or an equivalent combination of education and relevant experience.

Desired Qualifications:

  • Demonstrated ability in independent decision making.

  • Demonstrated experience being proactive, including providing independent guidance.

  • Experience interacting with high-level managers and officials, both internal and external.

  • Experience working with sensitive and/or classified information.

  • Experience with LANL's visitor procedures.

  • Active Q clearance.

Work Environment:

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 -

Clearance: Q (P osition will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test : The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position : Term status Laboratory employees applying for regular-status positions are converted to regular status.
