Los Alamos National Laboratory United Kingdom Program Administrative Assistant (Administrative Assistant 3/4) in Los Alamos, New Mexico

What You Will Do

This position will be filled at either the Administrative Assistant 3 or 4 level, depending on the skills of the selected candidate. Additional job responsibilities (outlined below) will be assigned if the candidate is hired at the higher level.

Administrative Assistant 3 $47,400- $73,200

Provide administrative level support to the United Kingdom (UK) Program Office (PO) which administers all LANL/UK Mutual Defense Agreement (MDA) technical exchanges between the Laboratory and the UK. This job will require extensive interfacing with the Atomic Weapons Establishment (AWE) International Liaison Office at Aldermaston UK, UK Embassy in Washington, D.C., DOE/NNSA Offices, Department of Defense (DoD) Offices, other NNSA sites, and the Joint Atomic Information Exchange Group (JAIEG) in Washington, D.C.

You will have the opportunity to be a key member of the UK PO team providing support to a number of initiatives by:

  • Scheduling and coordinating UK PO meetings and travel and providing general administrative support.

  • Supporting visits between LANL and the UK, including serving as a Foreign National Coordinator (FNC) in the US-UK Visits Module (DOE Computer System).

  • Serving as the office lead for transmittal of unclassified/CUI documents from LANL to the UK.

  • Managing training for approximately 2000 program participants, including providing credit in UTrain and updating LANL business accounts.

Administrative Assistant 4 $57,800 - $89,500

In addition to the requirements outlined at the lower level, at this level you should be able to provide a high-level of professional administrative support to the Program Office. Consistently maintain a professional office atmosphere, demonstrate attention to detail and accuracy, initiative, and confidentiality. Provide support where needed and serve as a point of contact and resource for the UK Program Office.

What You Need

Minimum Job Requirements:

Administrative Support

Demonstrated experience and proven competence performing administrative support in a busy office environment, including interfacing with all levels of personnel. Demonstrated ability to coordinate multiple calendars both personnel and conference rooms with complex schedules.

Communication

Excellent oral, written, and interpersonal skills. Demonstrated ability to build effective working relationships with all levels of personnel.

Organization and Time Management

Experience organizing, prioritizing, managing, and following through to completion on multiple assigned tasks in a demanding and fluid work environment. Demonstrated record of dependability, availability, attendance, and punctuality.

Decision Making

Proven ability to work effectively under the pressure of multiple coincident deadlines, interruptions, and changing priorities. This includes organizing, prioritizing, and following multiple tasks from beginning to end.

Business Systems

Proficient computer skills in MS Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint, Teams, etc.). Demonstrated competency independently composing and editing correspondence, memos, and other written documents.

Communication

Proven ability to work with sensitive and/or classified information. Demonstrated ability in working across teams to get work done and solve problems and to bring problems to management attention when needed.

Education/Experience at Administrative Assistant 3: Position requires a High School Diploma and 3 years related experience; or an equivalent combination of education and experience directly related to the occupation. At this level, additional training, certification, and/or education may be desirable.

Education/Experience at Administrative Assistant 4: Position requires a High School Diploma and 5 years related experience; or an equivalent combination of education and experience directly related to the occupation. At this level, additional training, certification, and/or education may be desirable.

Desired Qualifications:

Administrative Assistant 3

  • Knowledge of Laboratory organizational structure, operations, and administrative policies and procedures.

  • Working knowledge of Lab-wide administrative systems (e.g., Oracle Time and Labor, Concur, iProcurement, AccessIT, etc.).

  • Classified Matter Custodian; experience working with classified matter.

  • VTC scheduling and administration experience.

  • Experience hosting cleared US visitors.

  • Active DOE Q clearance.

Administrative Assistant 4, all above plus:

  • Expert knowledge of Lab-wide administrative systems (e.g., Oracle Time and Labor, Concur, iProcurement, AccessIT, etc.).

  • Experience working with ticketing systems for managing work processes.

  • Designated Procurement Representative (DPR) experience.

  • Experience using the Content Management System (CMS) to maintain and update LANL webpages. Experience with Dreamweaver and HTML.

  • Experience documenting processes and procedures and communicating these processes to customers.

  • UTrain Administrator experience, including assigning curricula, making updates to curricula and courses, and providing training credit.

  • Experience hosting cleared international visitors.

Work Environment:

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2 (https://directives.nnsa.doe.gov/supplemental-directive/sd-0206-0002) . Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
