WSP USA Document Control Specialist in Los Angeles, California

WSP is seeking a Document Control Specialist to join our Project Controls team in Los Angeles.

Your Impact

Duties and Responsibilities:

  • Influence the narrative by understanding what needs to be done. Support the Project vision and initiatives.

  • Implement efficient work-flow process, monitor daily activity, implement modifications.

  • Work within the existing “Electronic Document Management System (EDMS) QA/QC Plan”:

  • Maintain documentation in SharePoint or similar EDMS.

  • Work with Document Control Manager and Document Control team to ensure policies and procedures are being followed.

  • Provide Document Management support to entire project team:

  • Retrieve files Upload / Download files from EDMS, Manage Document Naming Convention, numbering, assigning, distribution.

  • Process Incoming/Outgoing documentation

  • Initiate and track document reviews

  • Ensure that electronic record files as required are maintained in good order to comply with QA and contractual requirements

  • Familiar with the Submittal and RFI Packages Procedure and Processes

  • Perform reoccurring training on Document Management Requirements and EDMS use

  • Optimize Document Control productivity, efficiency, and service quality across all departments

  • Work with project department leads to ensure timely processing of documentation

  • Conduct Internal Quality Audits of Document Management System

Who You Are

Minimum Requirements:

  • Bachelor's degree or equivalent

  • 3-5 years of Document Control experience involving Major Capital Improvement Programs and Large Projects

  • Experience working on Design, Pre-Construction, Construction and Closeout or similar projects in an document control role

  • Working knowledge of Unifier, Asite, Aconex, e-Builder, Procore, InEight or SharePoint

  • Advanced computer and word processing skills using MS Office applications

  • Excellent interpersonal, written and verbal communication skills

  • Ability to coordinate several high-priority deadlines simultaneously and demonstrate flexibility when priorities change

  • Excellent organizational & prioritizing skills with the ability to multitask

  • Technical knowledge of industry documents, records and data management systems

  • Experience with typical Microsoft office applications, (Word, Power Point, Excel and Visio), Adobe Acrobat.

  • Proven track record of upholding workplace safety and ability to abide by WSP’s health, safety and drug/alcohol and harassment policies.

  • Exercise responsible and ethical decision-making regarding company funds, resources and conduct and adhere to WSP’s Code of Conduct and related policies and procedures

Compensation:

Expected Salary (all locations): $87,700 - $125,400

WSP USA is providing the compensation range that the company in good faith believes it might pay and offer for this position, based on the successful applicant’s education, experience, knowledge, skills, abilities in addition to internal equity and specific geographic location. WSP USA reserves the right to ultimately pay more or less than the posted range and offer additional benefits and other compensation, depending on circumstances not related to an applicant’s sex or other status protected by local, state, and/or federal law.
