University of Louisville Department Coordinator IV in Louisville, Kentucky

Minimum Requirements:Bachelor's degree in a related filed or an equivalent combination of education and experience. Grade 4 (Hourly)Position Description:The Department Coordinator IV for the Assistant Dean of PhD Program supports all functions related to the School of Nursing (SON) PhD program and serves as a liaison between internal and external partners. Essential Duties and ResponsibilitiesProvide administrative and academic support to the Assistant Dean for the PhD Program and PhD faculty (e.g., scheduling academic and student activities, academic affairs activities, meeting agendas and minutes, correspondence, semester course grids and student and faculty orientations).Maintain calendar of all regular academic activities; execute activities as calendar dictates.Coordinate with Associate Director, Student Affairs to plan and execute recruitment events, manage application and admissions processes, track and facilitate student progression, and conduct course and degree audits required for qualifying exams and graduation.Coordinate with Associate Director, Student Affairs, to verify course schedule information.Assist with development, management, and submission of internal and external annual reports.Create and maintain databases to support efficient processes for collecting academic affairs data, documents, and other activities.Process student forms including Leave of Absence, Grade Change, Variances, and Independent Study requests.Serve as a liaison with staff of the Graduate School, as directed.Coordinate with the staff in the Office of Academic Planning and Accountability to execute surveys using university software.Manage internal and external data bases related to student and academic processes (e.g., OnBase, Blackboard Organizations, CIM, NursingCAS, CastleBranch)Update and maintain the PhD Program website and complete relevant website tasks as needed.Maintain professionalism and confidentiality of all student and faculty matters.Other duties as assigned, including occasional coverage of the SON reception areas.Preferred Qualifications Master’s DegreeThree-five years’ experience in academic program support.Proficiency in Microsoft Office products (Word, Excel, PowerPoint, Access, TEAMS, Outlook) and ability to gain proficiency with university-specific and 3rd-party software programs.
