University of Louisville Supervisor, Business Unit Administration in Louisville, Kentucky

Minimum Requirements:Bachelor’s degree in Business or related field and 4 years of experience or equivalent combination of education and work experience. Grade 6 (Salaried)Position Description:The Supervisor, Unit Business Administration will manage the business and financial operations of assigned departments and programs within the College of Arts and Sciences, in alignment with university policies and procedures.Essential Duties and Responsibilities:Facilitate compliance with operational policies and procedures through collaborations with department chairs, program directors, faculty, staff, and students.Provide budgetary and financial consultation guidance and training to unit staff as needed.Manage the fiscal operations (general funds, gifts & endowments, grants, and contracts) of departments, centers, and institutes by preparing, analyzing, and communicating budget and financial reports to department chairs and directors.Assist UBM, Sr. and Lead Fiscal Officer to strategically prepare, monitor, and forecast yearly budgets.Track and review budget to actual expenses and encumbrances for accuracy and completeness monthly and proactively make necessary corrections.For all assigned departments and programs, review procurement card expenditures and facilitate required reallocations, review for compliance, and approve monthly activity reports,Review and approve travel reimbursements and disbursements to ensure accuracy.Serve as liaison with A&S Research Office and work with PIs to assist with grant management, post award through closing, including monitoring of expenses and compliance.Manage distribution and completion of effort reporting of external funding source for all faculty, staff, students, and temporary employees to ensure compliance with documented budgets. Liaisons with college Sponsored Programs office and EVPRI to troubleshoot and resolve discrepancies in grants. Preparation of journal vouches for salary corrections as appropriate, cost share transfers, and contract invoicing.Enter and update costing for employees in Workday.
