Performs support and coordinative work in direct support of an administrative team of a specific administrative office or department. Coordinates and assists with functions such as planning, researching, budgeting and program implementation and evaluation. Performs responsible and complex office support duties, thus relieving the administrator of these duties. Work is performed under administrative supervision.

Major/Essential Functions:

The Department of Civil, Environmental, and Construction Engineering at Texas Tech University is seeking a full-time Administrative Coordinator. The Administrative Coordinator will be responsible for covering the following essential duties:

  • Responsible for supporting assigned CECE faculty members in procuring goods and services related to research and teaching support through the necessary purchasing channel (PO or TTU pcard)

  • Responsible for maintaining Pcard processes, reconciliations, and any supporting documentation needed (i.e., food forms, missing receipt forms) for assigned areas.

  • Process travel pre-approval and expense reports for assigned area and faculty candidates.

  • Advise assigned CECE/TechMRT faculty on all TTU travel policies.

  • Serves as primary research support for assigned faculty.

  • Provide support on proposal submission at the departmental level in coordination with the ORS research administrators. Reviews funding regulations for awards and ensures spending complies with university, funding, and federal guidelines with grant specialists.

  • Works with other departments, such as ORS and AS, to support timely and accurate budget invoicing on sponsored projects.

  • Provide support services to principal investigators by maintaining timely research account ledgers and initiating cost transfers as needed.

  • Process labor redistributions to ensure that research students and faculty are allocated to the appropriate funding.

  • Prepare and submit ePAFs and supporting documentation for research faculty and students.

  • Coordinate with CECE Business Manager on salary allocations.

  • Responsible for assisting with coordinating and scheduling events and meetings for the CECE Advisory Council and Academy and coordinates special events related to research programs, including seminars, workshops, and promotional events.

Preferred Qualifications:

  • Prior office experience, preferably in a grant-funded environment.

  • Experience working independently to troubleshoot problems and implement solutions.

  • Excellent organizational skills with the ability to prioritize tasks and meet deadlines.

  • Strong attention to detail and a commitment to accuracy.

  • Possesses exceptional written and verbal communication skills.
