Position Description:

Performs coordinative work in the business or administrative operation of a specific department or college. Responsibilities involve the coordination and supervision of the various functions and aspects of a department as well as the monitoring operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise staff or student assistants.

Major/Essential Functions:

  • Complete monthly ACS billing of goods and services and maintain records of expenses. Reconcile ledgers and maintain records for audit purposes. Process budget revisions, cost transfers, IV's and other transactions as needed.

  • Prepare requisitions, process and complete PO's, vendor orders and work orders as needed. Reconcile vendor account statements monthly or quarterly, as needed.

  • Reconcile procurement cards and submit expense reports. Maintain vehicle records and expenses. Maintains and updates driver approval records.

  • General management of office business activities, including maintenance of copy machine and supplies, collecting and sorting boxes and mail, administrative support to the director of ACS, and assist with scheduling and preparing IACUC and ACS meetings, semiannual inspections, training, site visits or other requested meetings.

  • Perform/complete additional duties or activities as requested by the director or associate director.

  • Process travel applications, vouchers, advances and reservations as needed. 5%

  • Participate in annual budget prep, review budgets and submit revisions as needed. Run Cognos reports for budget prep.

  • Attend required training and informational sessions to maintain current knowledge of university policies and procedures. Review departmental activity and records to ensure compliance.

  • Prepare and submit personnel and payroll documents as needed. Maintain personnel files and records. Prepare ePAFs, position descriptions and all associated personnel related documents. Serve as Employee Service.

  • Coordinator for ACS. Verify and submit personnel longevity reports. Run Cognos reports for personnel budgeting purposes.

  • Maintain annual Property Management.

Preferred Qualifications:

  • Typing skills and ten-key. Experience with office equipment including computer, copier, scanners and fax machines.

  • Knowledge of Microsoft Office Word and Excel. Familiarity with Microsoft Office. Knowledge of TTU purchasing system, procedures and TechBuy. Knowledge of personnel policies, procedures and payroll system. Knowledge of travel procedures and policies. Knowledge of accounting and budget system. Knowledge of TTU operating policies and procedures.

  • Qualifications in addition to the required qualifications.

  • Bachelor degree in a related field.

Our Mission is to provide for the physical and psychological well-being of animals used in research and teaching. To aid investigators in obtaining and properly using these animals.

More specifically, the ACS serves to facilitate the use of animals in research and teaching at Texas Tech University while assuring compliance with all applicable regulations. ACS maintains responsibilities in animal procurement, animal housing and daily care, the provision of veterinary care, health surveillance and preventative care, assisting investigators and their staff with animal procedures, and the care, maintenance and replacement of equipment and facilities.
