Position Description:

Performs coordinative work in the business or administrative operation of a specific department or college. Responsibilities involve the coordination and supervision of the various functions and aspects of a department as well as the monitoring operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise staff or student assistants.

Major/Essential Functions:

  • Manage accounts payable and receivable (purchase orders, vendor payments, purchasing card reconciliations interdepartmental transfers invoice collection deposits etc. ) 25%

  • Manage departmental personnel matters (onboarding paperwork, payroll, travel, temp labor timesheets, event labor reports and other related items). 25%

  • Assist with budgetary matters (annual budget prep, encumbrances, budget revisions, track revenues, expenditures and event-specific expenses, related reports and duties as needed). 15%

  • Manage Arena front desk reception, supervising front desk student assistants, and assisting guests and callers. Perform general clerical duties, maintaining records, bookkeeping, placing equipment & supply orders and other duties as assigned. 10%

  • Provide administrative support to the Office of Campus Events (personnel documents, accounts payable/receivable purchase orders budget and related items) 25%

Preferred Qualifications:

  • Understanding and knowledge of budgeting and accounting principles, account payables, receivables, and managing files and records.

  • Experience with payroll and personnel documents.

  • Knowledge and experience with the TTU Cognos, A&F Work Tools, TechBuy and other TTU administrative systems a plus.

  • Ability to keep pace with a fast-moving operation, adapting to event-driven changes and needs. · Strong organizational, time management skills, with particular attention to detail and deadlines. · Exceptional customer service and communication skills.
