Position Description:

Performs responsible and complex duties associated with a specialized function of a section of clerical employees. Duties may be generally described as planning, assigning, coordinating, directing, scheduling, evaluating, verifying, training, and processing of information. Thorough knowledge of policies, procedures, and methods for the area of responsibility is required. Initiative and independent judgments are frequently exercised in formulating procedures or methods, and in program coordination. Work is performed under general supervision within University policies and procedures. Job performance is based on overall operational effectiveness.

Major/Essential Functions:

  1. Performs administrative duties for Procurement Services staff. Responsibilities include fielding and screening phone calls; managing calendars; making meeting and event arrangements; greeting visitors; copying, and other administrative duties to allow the office to function in a professional manner.

  2. Manage Timeclock reporting and other payroll and timeclock-related duties.

  3. Reconcile monthly Pcard statements, department budgets, purchasing transactions, and any travel-related items in their various systems.

  4. Oversee the departmental inventory and complete the annual inventory audit.

  5. Develop projects to increase the morale of staff in compliance with University policies. Involve staff members to increase employee participation. Work with the Managing Director to develop team-building activities.

Required Qualifications:

A minimum of a high school diploma or the equivalent. Three years progressively responsible clerical experience. Additional education and/or related experience to equal three years may substitute on a year for year basis.
