Role Snapshot

This role will provide high-level administrative support for 2 to 3 members of the leadership team to ensure they can efficiently complete key tasks and drive company initiatives. This entails attention to detail, solid organizational skills, and the ability to meet tight deadlines while managing multiple critical requests across teams and working closely with others throughout the organization. The individual in this role must understand business priorities, demonstrate the ability to proactively anticipate needs and drive improvements. This position requires application of discretion, confidentiality, and the ability to exercise sound decision-making at all times. In addition, this role will:

  • Manage complex calendars and scheduling

  • Manage expense report coordination and submission

  • Arrange business travel and coordinate meetings on-site, off-site, hybrid and virtually

  • Prepare responses to routine correspondence and inquires

  • Utilize various business applications to prepare correspondence, reports, presentations, agendas, and meeting minutes

  • Bookkeeping and account/contract management and conduct invoice processing

  • Support new employee recruiting and oversee the onboarding process

  • Provide onsite support of meetings

Minimum Qualifications

  • High School Diploma or equivalent

  • 3 or more years of experience in a corporate environment

Preferred Qualifications

  • 3 or more years of Executive Assistant experience

  • Strong knowledge in Microsoft Office specifically Outlook, Teams, Word, Excel, and PowerPoint

  • Strong knowledge in meeting technology tools

  • Time management and prioritization skills

  • Strong verbal and written communication skills

  • Strong organizational skills

  • Independent problem-solving and decision-making skills

  • Interpersonal skills

Work Location

This full-time position will work in our Madison, WI Corporate Office at least 3 days a week and 2 days remotely (remote days can change from week to week depending on needs). There are times, however, where the calendar and schedule of activities dictates this role needing to be in the office 4-5 days in a given week.

Hours

Monday through Friday, 8:00 AM to 5:00 PM

Salary

$75,000 - $85,000

The base pay offered for this position may vary within the posted range based on your job-related knowledge, skills, experience, and may fall outside of this range.
