POSITION SUMMARY:

Performs Receptionist and medical secretarial activities requiring a good working knowledge of medical terminology. Types and/or transcribes various forms of medical reports and letters. Establishes and maintains new and established patient accounts on a daily basis. Maintains patient appointment schedules, completes various forms and maintains files and records. Coordinates monthly data for statistics and productivity reports. Provides cross coverage at other rehab site locations as needed. Performs other related clerical tasks as assigned. Provides assistance in the clinic with a variety of non-medical tasks.

EDUCATION/CERTIFICATION:

  • High school diploma or GED equivalency is required.

EXPERIENCE:

  • At least three (3) years work experience in a medical office setting where intermediate knowledge of software computer programs such as Word and Excel as well as knowledge of medical terminology has been gained and demonstrated in daily work.

COMPETENCIES:

  • Knowledge of medical insurance as it pertains to obtaining medical insurance authorizations and benefit verification.

  • Able to multi-task and prioritize workload with little to no supervision.

Job-Specific Competency

  1. Accurately types and/or composes reports, correspondence, letters, memos, policies, and meeting minutes within established timeframes as set by management staff.

  2. Assist staff and management with documentation form needs. This includes, but is not limited to, QI, patient charting, scheduling, and reports as evidenced by forms review and management observation.

  3. Establishes, maintains, and updates efficient filing system as needed to include reports, forms, and documents in their accurate location and performed in a timely manner.

  4. Accurately prepares and processes patient folders with necessary information, as evidenced by management observation.

  5. Processes HIM and PFS record requests within established time frames.

  6. Compiles statistical, departmental activities, and productivity data (i.e. month-end statistics, co-pay collection, attendance records, etc.) as evidenced by management observation.

  7. Provides clerical support to all rehabilitation services special projects, as requested by management staff.

  8. Independently schedules and reschedules patients according to established procedures, as evidenced by management observation and review of the department schedule book.

  9. Assures that patient charges are accurately entered within HCIS time constraints, as evidenced by management review and late/rejection/APC reports.

  10. Independently establishes and maintains patient accounts, recording information accurately. In addition, responsible to maintain updated information on registration procedures and changes as received by admitting department and management staff, as evidenced by lack of registration errors as reported by auditing staff and management review.

  11. Independently maintains contact with third party payors, obtaining benefit verifications, establishing and updating authorization requirements, and other needed information on a regular basis, as evidenced by review of documentation. Assures that this information, including Medicare documentation, is accurately recorded in both the patient's medical record and Medi-Tech account.

  12. Provides information in a concise manner as it relates to patient benefit limitations and/or treatment restrictions to rehabilitation services staff, as evidenced by review of insurance information flow sheet.

  13. Responsible for point-of-service copay collection and processing, assuring deposits are done on a weekly basis and maintaining collection at a minimum of 80%.

  14. Maintains responsibility for general clerical support functions of the department to ensure efficient utilization of time.
