Infinite Health Collaborative (iHealth) Clinic Lead - Colon & Rectal Surgery Associates in Maplewood, Minnesota

Description This is a non-exempt position intended to supplement the manager's presence by providing a day-to-day resource for staff and providers. Approximately 70 - 80% of the incumbent's time will be spent performing clinic staff duties and approximately 20-30% of the incumbent's time will be spent in leadership duties. The individual hired will be expected to perform Clinic Assistant (CA), surgery scheduling and front desk duties in order to serve as a resource to clinic staff and function in a backup capacity as needed. This is a full-time position working between the hours of 7:30 am - 5:00 pm out of our Maplewood and St. Paul locations. Colon & Rectal Surgery Associates is an operating division of Infinite Health Collaborative (i-Health), a group of local medical practices, owned and led by its physicians, on a mission to give patients more control over their healthcare. Essential Functions: Perform CA, Phones and Care Coordinator (e.g. surgery scheduling) duties (70-80% of time) Including accurately document actions taken and support patient charting utilizing the Altera EMR system. Provide patient education, room patients, assist physicians with minor procedures and perform miscellaneous tasks as assigned. Answer clinic phones and schedule appointments/procedures. Support high quality patient care through efficient clinic flow and maximizing provider schedules. Serve as the primary point person assigned team members to coordinate the daily work of clinic staff, provide work direction, distribute work assignments, and assist in problem resolution. Coordinate staff schedules to ensure adequate coverage is available for clinic & phones Monitor team members tasks for accuracy and completion - provide feedback to Manager re: performance concerns and in conjunction develop plan for next steps Schedule and facilitate monthly team meetings, group lunches, - provides updates to Manager (if not in attendance). Perform time administration; process exception time sheets, provide feedback to Manager re: performance concerns and in conjunction develop plan for next steps Work with Managers and other team leads to effectively use resources and assist in the development of processes where cross team coordination is necessary. Attends monthly Clinic Manager/Lead meetings Prepare training and orientation materials for new employees, checks in on training checklist daily - report training progress to Manager Apply monthly schedule templates and updates templates as appropriate Monitor MD/PA schedules for efficiency (e.g. reduce gaps and windshield time) and appointments are scheduled with the appropriate provider. Interact daily with providers to adjust schedules to enhance provider efficiency Distribute answering service consults/update Keep Manager informed of training, performance, attendance, facility specific issues. Provides performance feedback for each team member to the Manager Any and all other duties as assigned Education and Experience Requirements: High School Diploma/Equivalent Requires 1-3 years' experience and demonstrated strong clinical performance Prefer additional experience in scheduling patient procedures in a clinic/hospital or out-patient surgery center Minimum two years previous experience providing work direction to others in leadership or supervisory capacity, preferably in a medical setting. Strong computer knowledge (Allscripts system experience preferred) Superior communication skills (verbal and written) Ability to set the tone for a professional and pleasant environment for patients, staff and providers Strong organizational skills; ability to manage multiple priorities and ability to facilitate efficient patient/work flow within a medical clinic Understanding of medical terminology and medical clinic flow Basic knowledge of anatomy and physiology nowledge of HIPAA guidelines and patient confidentiality Ability to handle a high volume of incoming phone calls and prioritize workload High degree of courtesy, professionalism and customer service skills Ability to proficiently speak, read, and write in English Able to travel to other clinic/satellite locations as needed Possess valid driver's license, good driving record and ability to travel between clinic locations as needed in a reliable and efficient manner Essential Requirements: Ability to: Comply with company policies, procedures, practices, and business ethics guidelines. Work in the clinic, office, or surgery center during business hours Travel independently throughout the clinic, office, or surgery center (which may include movement from floor to floor); frequent bending, lifting, standing, stooping, or sitting for long periods may be required. Work at an efficient and productive pace, handle interruptions appropriately, and meet deadlines. Communicate and interact respectfully and professionally. Prioritize workload while being flexible to meet the expectations of the daily operations. Apply principles of logical thinking to define problems, establish facts, and draw valid conclusions. Understand and execute a variety of instructions. Effectively operate equipment and communicate on and operate the phone system.
