Job Summary:
The People Operations & Office Assistant supports both the daily functions of the People Operations team and the efficient operation of the office. This role performs a blend of administrative, human resources, and office administration tasks and services, contributing to a positive employee experience and a well-organized workplace.
A Sample of the Role:
People Operations
- Assist the People Operations team with onboarding and offboarding processes, including preparing documentation and managing employee records
- Assists with posting jobs, screening resumes, coordinating interviews, and communication with applicants.
- Maintains and updates HR systems (e.g., HRIS, payroll software) and databases with accurate employee information. Acts as employee point of contact for systems and provide support.
- Supports employee engagement initiatives, such as organizing events, surveys, and other company programs.
- Responds to employee inquiries related to benefits, processes, policies, procedures, or other People Operation functions. Refers more complex issues to appropriate People Operations team member as needed.
- Coordinates logistics for training, including scheduling, venue arrangements, technology and equipment, and communication with participants. Responsible for record keeping and tracking completions and certifications for compliance purposes.
Assists in the implementation of company policies and compliance with regulations.
Office Administration
Welcomes and assists visitors, clients, and employees in a professional and courteous manner. Provides customer service and receives and addresses routine questions.
Completes day-to-day office operations, including processing mail, filing, ordering and maintaining supplies, and overseeing vendor relationships.
Schedules and coordinates appointments, interviews, meetings, trainings, events, and travel arrangements.
