JOB REQUIREMENTS: Position Summary Transform lives by being the first point of contact to provide administrative support to School of Allied Health programs and employees. Review and analyze criminal/caregiver background checks data and health records requirements for allied health programs ensuring students are eligible for clinical placement to complete their program education. Communicate with internal/external customers regarding the process of background checks and health records requirements. Support the accreditation process for all School of Allied Health programs, ensuring compliance with accrediting bodies and assisting in the preparation of necessary documentation and reports. Duties & Responsibilities Analyze student\'s State(s) Department of Justice criminal background checks (CBC) and other National/Statewide reports. Follow guidelines provided to determine whether students need to have clinical approval for site placement. Request required confidential and sensitive police and court records from students, verifying discrepancies in background records. Consult with Dean/Associate Dean regarding criminal records and/or site placement for CBC completion process. Communicate with clinical sites for approval of student clinical site placement. Analyze confidential student health records/immunizations requirements for missing information to meet health requirements per program. Override rejections and accept health records that meet the required guidelines. Communicate and provide students with information regarding the requirements for the health records and background check processes . Complete applicant checklists in PeopleSoft after verifying health record and background check requirements for health programs . Coordinate and track allied health program accreditation processes. Prepare and submit accreditation paperwork. Act as a School of Health liaison with clinical affiliates for student placement . Work in collaboration with Dean, Associate Dean, Program Director and/or Team Lead to plan clinical assignments and schedule classes . Communicate to students and faculty any changes regarding clinical assignments. In conjunction with the Nursing Program Specialist, oversee the creation and maintenance of Student Healthcare Agreements. Coordinate onboarding each semester for new incoming students. Greet and provide customer service to students, employees, and the public; respond to a variety of in-person or phone inquiries pertaining to college services; make appropriate referrals as needed. Assist with planning and documenting program advisory committee activities and other events. Schedule allied health classes and workload management submissions. Attend, assist with, and participate in College, School, and department meetings as required. Provide administrative support for assigned program managers and faculty by performing general office duties, which may include coordinating and maintaining office supplies, copiers, and printers; making room reservations; submitting facilities work requests; distributing mail; and submitting printing requests. Handle sensitive information in accordance with guidelines and regulations. Perform other duties as assigned. ***** OTHER EXPERIENCE AND QUALIFICATIONS: Minimum of two years of prior administrative office experience in a setting which utilized current office technology required. Working knowledge of Windows, Microsoft Office applications, and PeopleSoft applications, or the ability to learn and use PeopleSoft. Proficient in Microsoft Office applications including Excel, Word, and Outlook. Must possess excellent organizational, interpersonal, and communication skills.
