What You Will Do:

Guidehouse is currently seeking an experienced Payroll and Tax Analyst with expertise in efficiently managing all aspects of payroll tax administration and compliance for our organization. You will play a vital role as the Payroll and Tax Analyst in ensuring payroll and tax accuracy and adherence to legal regulations, providing exceptional support to our employees and the department team members.

Job Description:

The Payroll and Tax Analyst requires advanced knowledge and experience handling payroll tax analysis, filing and payment in accordance with federal, state, and local tax regulations, as well as vendor requirements. Researches and rectifies inquiries from employees and external agencies related to filings, payments, and audits. Internally analyzes and audits payroll tax setup within the payroll system and employee setups. Solves moderately sophisticated problems; takes a fresh opinion using existing solutions and works independently with minimal mentorship to adapt knowledge and skills to situations where there may be an increased level of difficulty.

  • Deep expertise in the payroll tax space to support daily tax operations such as employee paycheck inquiries and tax account due diligence, while also supporting critical projects, such as annual employee year-end W2 production, payroll implementations, and other project work that may arise due to ever-changing government tax regulations.

  • Utilizes technical expertise and judgement to solve problems. Leverages technical skills and analytic thinking required to solve problems.

  • Seeks continuous improvement opportunities and is accountable for ensuring that all processes that impact employees and the company from a tax perspective, are in good standing.

  • Collaborate with functional and technical teams establishing effective relationships to complete key business objectives.

  • Promotes teamwork, engages the right contacts for the right tasks, and cross trains others to provide maximum flexibility within the team and facilitating top notch customer service on meeting deliverables.

  • Implementation and maintenance of documentation and controls to ensure all standard work or operating procedures are up to date across all tax operations and guides team in best practices in how to best maintain controls.

  • Identifies continuous improvement opportunities within these areas and will maintain accurate metrics and use data to identify trends to support enhancement or improvement opportunities. The role will have adequate controls in place to know when a process or task has failed or has an issue and has proper steps to respond and resolve the issue.

Job Responsibilities:

  • Ensure the accurate and timely filing of payroll tax returns and payments.

  • Support and participate in full cycle payroll processing for US, PR, Canada.

  • Lead W2 processing to ensure accuracy. The process includes year-long adjustments and W2Cs (corrections) if necessary. Act as the liaison with ADP ensuring data submissions including amendments are completed timely and any issues are resolved quickly.

  • Ensure all applicable systems settings are processing taxes in compliance with tax regulations and legislation. Includes setup when adding new taxing jurisdictions and engaging with ADP.

  • Complete reconciliation accurately on or before the deadline, resolving all differences in a timely manner. Reconciliations include but are not limited to general ledger liability accounts and tax returns.

  • Monitor all incoming tax notices to ensure compliant resolution and avoidance of penalty and/or interest.

  • Support business as a subject matter expert in payroll taxes that can assist employees with payroll-related tax questions, research and respond to tax inquiries, and manage complex tax escalations.

  • Mentor and provide training for payroll team members as required.

  • Ensure all processes related to payroll taxes are fully documented, stored in the centralized repository, and updated on an annual basis.

  • Additional payroll duties as necessary such as providing payroll processing support or special projects.

What We Will Expect of You:

  • Ensure accurate and timely processing of payroll processing and tax payments for US, PR and Canadian payroll taxes.

  • Reconcile state/local and federal tax authorities using ADP Vantage and Smart Compliance. Create less complex tax returns that ADP does not file.

  • Create, process, and reconcile annual withholding returns for US and Canada including W-2, T-4, and possible RL-1s by due dates.

  • Research and resolve out-of-balances.

  • Correct reconciliation errors where needed and prepare/file amended returns as necessary, including W2c preparation and adjustment processing.

  • Uploads import files, and updates employee records, and resolves all import errors.

  • Research and respond to state and local tax agency tax notices. Research and respond to complex inquiries related to payroll taxes, deductions, and wage withholdings.

  • Works on special projects as required, including but not limited to acquisitions, mergers and divestments, internal and external audits, and W2 and W2c reconciliation and processes.

  • Complete the setup of new tax locations in ADP systems including registrations and tax account maintenance.

  • Assist with reporting requirements for: Dept of Labor Reporting, Multiple Worksite Reporting, and Bureau of Labor Statistics.

  • Ensure documentation of all processes and controls as well as maintenance and updates periodically.

  • Report concerns when issues are identified and/or escalated.

  • Communicate effectively with teams across the company to ensure customer service SLAs are met and/or exceeded.

What You Will Need:

  • Requires a University Degree plus 4-6 years of prior relevant OR 8 years of relevant experience in lieu of degree

  • Minimum of five (5) years multi-state payroll tax experience where employees work in multiple states within a calendar year.

  • ADP experience, specifically Vantage and Smart Compliance, including processing adjustments and corrections.

  • Strong Excel and data analytical skills.

  • Positive, professional attitude with excellent customer service skills.

  • Accounting experience with practical application in reconciliation.

  • Strong organizational skills and the ability to multi-task in a fast-paced environment.

  • Ability to work independently with minimum supervision and prioritization of tasks.

  • Detail-oriented with the ability to follow complex processes with a high degree of accuracy and be able to identify and implement ongoing process improvements.

  • Ability to collaborate and lead effectively with team members with excellent communication skills, both verbal and written.

What Would Be Nice to Have:

  • CPP certification is a plus

  • Global payroll and tax processing experience

  • Shadow payroll and tax experience

  • Preference will be given to candidates who are located within 50 miles of a Guidehouse office

The annual salary range for this position is $75,800.00-$113,600.00. Compensation decisions depend on a wide range of factors, including but not limited to skill sets, experience and training, security clearances, licensure and certifications, and other business and organizational needs.
