Robert Half Office Services Associate in Miami, Florida

Description We are seeking an Office Services Associate to join our team in Miami, Florida. This role focuses on providing back office services, including reprographics copy and mail services in both physical and digital environments. The successful candidate will be expected to support services in hospitality facilities, audio/visual reception, and other service lines as needed.

Responsibilities:

• Accurately maintain logs for all office services work.

• Ensure job tickets are properly filled out before beginning work.

• Perform office services work, primarily reprographics, mail, and intake functions, according to established procedures.

• Communicate effectively with supervisors or clients on job or deadline issues.

• Troubleshoot basic equipment problems and place service calls when needed.

• Prioritize workflow and meet contracted deadlines for accepting, completing, and delivering all work.

• Handle sensitive and/or confidential documents and information appropriately.

• Make independent decisions that align with business needs and policies.

• Load machines with various paper and toner supplies.

• Interact with clients in person, over the phone, or electronically.

• Adhere to company policies and use equipment and supplies in a cost-efficient manner. Requirements • Proficiency in customer service is necessary.

• Familiarity with office functions and operations.

• Understanding of procedures and policies.

• Experience in answering inbound calls is desirable.

• Supervisory skills are a plus.

• Knowledge of 'About Time' software is beneficial.

• Ability to provide workstation support.

• Excellent phone presence is required.

• Familiarity with hiring processes is a plus.

• Proficiency in scanning, and scanning documents is necessary.

• Experience with receptionist duties.

• Ability to troubleshoot issues.

• Familiarity with facility management.

• Digital literacy is required.

• Excellent communication skills are necessary.

• Ability to maintain logs.

• Experience with machinery, specifically related to office work.

• Knowledge of paper management.

• Experience in quality assurance is desirable.

• Ability to distribute faxes efficiently.

• Willingness to work overtime if required.

• Experience in handling service calls.
