The University of Miami/UHealth, International Medicine Institute has an exciting opportunity for a Sr. Administrative Assistant to work at Soffer Clinical Research Center in Miami. The International Medicine Institute (IMI) is the international division of the University of Miami Health System and Miller School of Medicine. We are proud of our role in bringing the global community a comprehensive Institute providing the highest quality healthcare, education and cutting-edge research. This position also provides administrative support to the department of the International Medicine Institute, while acting as liaison with various administrative offices within the School of Medicine. The Sr. Administrative Assistant assist with the day-to-day office needs:

  • Supports the International Observer Ship Medical Training Program inbox

  • Prepare monthly welcome and exit documentation for medical observers

  • Support the IMI Virtual Observer Ship Program inside the hospital

  • Answers telephones, take messages, and transfer calls to appropriate personnel.

  • In charge of ordering and keeping inventory of office and marketing supplies

  • Prepares financial forms (IDRs, BERFs, POs, facilities work orders, check requisitions, departmental purchasing card reconciliation, petty cash)

  • Organize the department annual events, and conference room reservations.

  • Supports the Program Directors with full administrative calendar, travel arrangements, meeting organization, prepare business expenses, and develop agendas for foreign visitors.

  • Manage social media platforms, quarterly newsletters, and conferences.

  • Arrange conference registrations, meetings and travel reservations for office personnel and doctors who travel to speak at conferences.

  • May provide ancillary support to business operation services, etc.

  • Completes other projects as assigned by Sr. Manager and Directors

  • Adheres to University and unit-level policies and procedures and safeguards University assets.

Education:High school diploma or equivalentExperience:Minimum 3 years of relevant experienceKnowledge, Skills and Attitudes:• General knowledge of office procedures and operations• Ability to accurately prepare and maintain records, files, reports and correspondence• Ability to communicate effectively in both oral and written form• Ability to maintain effective interpersonal relationships• Ability to process and handle confidential information with discretion• Skill in completing assignments accurately and with attention to detail• Proficiency in computer software (i.e., Microsoft Office)
