Multi-Specialty, part of Optum, has an immediate opening for a friendly, patient focused and detailed oriented Patient Access Specialist to join our team. Patient Access Specialist is responsible for the completion of set processes and protocols. Works cooperatively with all members of the care team to support the vision and mission of the organization, deliver excellent customer service and adhere to Lean processes. Supports the teams in meeting financial, clinical and service goals.

The Patient Access Specialist is primarily responsible for maintaining all aspects of registration and discharge of patients to the Practice and performs duties related to patient/visitor centered customer service using all computer systems and specialized applications software.

Schedule: Monday through Friday a 37.5-hour work week, between the hours of 8:00 to 4:00 pm. The schedule will be determined by the supervisor upon hire.

Primary Responsibilities:

  • Respects confidentiality and is HIPAA compliant in all aspects of communication regarding patient, Practice and staff members

  • Functions as a member of a team committed to quality patient care and takes initiative to keep informed of new/revised Policy and Procedures

  • Completes Mandatory Education annually and attends/participates in training/review classes and projects as assigned

  • Works independently, takes initiative in completing assignments

  • Verifies insurance eligibility and coverage by phone or electronically using independent website, RTS, or Phreesia

  • Assures all demographic and insurance information is accurate, clean, complete, and up to date in the patient's chart. Scans/copies current insurance card and photo identification into system when applicable

  • Contacts the patients that have no insurance listed or have invalid insurance to collect accurate patient demographic and insurance information

  • Provides, explains, and reviews for accurate completion, all Registration forms, i.e. Patient Representative, Patient Registration form, Family Information form, and Text Addendum where applicable and obtains signatures as required

  • Determines balances due including past balance, co-payments, co-insurance and deductibles, referring to Patient Accounts as necessary. Advises patient of expected out of pocket costs prior to appointment date. Works with the patient to see a Financial Counselor the day of the visit prior to services being rendered so payment can be collected

  • Takes responsibility for collecting and posting payments from patients at time of service via check or credit card in compliance with Cash Control Policies and Procedures

  • Identifies the patient’s benefits and referral / authorization requirements per the insurance policy guidelines. Works with the referral / authorization team to ensure the referral / authorization is obtained prior to the visit if one is required

  • Obtains HMO insurance referrals and follows HMO PCP requirements as required for maximum reimbursement of services rendered

  • Prepares Batch Report daily to total and balance collections

  • Assigns NextMD tokens in compliance with Meaningful Use guidelines

  • Provides After Visit Summary in compliance with ACO guidelines via email

  • Begins the check in process in EPM, Phreesia, Crystal Connect and Siemens. Act on notations in all systems and completes the auto-flow process successfully

  • Schedules/Cancels/Reschedules patient appointments as needed adhering to scheduling policies and procedures

  • Notifies management or other departments appropriately using Clerical Templates for various issues/requests/reasons

  • Demonstrates flexibility in schedule and travel to meet patient and office needs

  • Performs other tasks as required for the effective and efficient functioning of the Practice when directed to do so by Supervisory and Managerial personnel

  • Performs other duties as assigned

Required Qualifications:

  • High School Diploma/GED (or higher)

  • 2+ years of customer service experience

  • 2+ years of experience with interpreting insurance benefits and knowledge of insurance requirements

  • 2+ years of experience with medical terminology

  • Intermediate level of computer proficiency (including Microsoft Outlook and Teams)

Preferred Qualifications:

  • Experience as a receptionist in a healthcare setting

  • Experience working with an electronic health records

  • Knowledge and ability to learn and apply job functions

Soft Skills:

  • Ability to work independently and as a team, and maintain good judgment and accountability

  • Demonstrated ability to work well with health care providers

  • Strong organizational and time management skills

  • Ability to multi-task and prioritize tasks to meet all deadlines

  • Ability to work well under pressure in a fast-paced environment

  • Excellent verbal and written communication skills; ability to speak clearly and concisely, conveying information in a manner that others can understand, as well as ability to understand and interpret information from others

New York Residents Only: The salary range for New York residents is $16.54 to $32.55 per hour. Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. UnitedHealth Group complies with all minimum wage laws as applicable.
