FirstService Residential Communications Coordinator in Midlothian, Virginia

Job Overview:

As a Communications Coordinator, you will help manage all correspondence areas between management,committeesand the board of directors.

Your Responsibilities:

  • Create and distribute information to resident emails that include Board meetings andnotes, notices, reminders, events, etc.
  • Assistwith coverage of receptionist desk and phones as needed
  • Maintain FirstService Connect Call Center Questions
  • Attend occasional night meetings asrequired
  • Responsible for the Associationnewsletterandwebsitecontent and functions
  • Comply withall policies, procedures and regulations of company and Association
  • Create and manage all content for Association social media accounts.
  • Maintain association Zoom account and meeting schedules.
  • Assistwith special projectsand community eventsasrequested.
  • Newsletter/Association Publication Responsibilities:
  • Prepare content,monitorand coordinate the photography, artwork,layoutand preparation ofthe copyfor publication
  • Edits material for accuracy,styleand readability, recommending changes where necessary
  • Solicits bids andmaintainsworking relationship with outside vendors
  • Work with prospective Business advertisers and collect generated revenue
  • Maintain resident distribution list – update member information
  • Work with clubs,organizationsand Association Committees to obtain monthly articles
  • Attend monthly Communications Committee meetings
  • Publish monthly newsletter
  • Website Responsibilities
  • Maintain vendor hosted website
  • Develops and produce web-based material
  • Add pages and functions to the website
  • Verify new members and approve login requests
  • Update governing documents asamended
  • Upload newsletter monthly
  • Create announcements
  • Maintain monthly Association calendar
  • Add Board packet and agenda prior to Board meeting
  • Add Association meeting minutes following Board approval
  • Update community contacts annually on the website
  • Regular attendance and punctuality are essential functions for the role

Skills & Qualifications:

  • Bachelor’s Degree in Marketing, Communications, Hospitality, or similar discipline
  • Strong organizational and communication skills
  • Experience working with a team and independently
  • Capable of delivering an exceptional level of service to our clients
  • High level competency with Microsoft Word, PowerPoint & Excel
  • Preferred efficiency in Canva and Constant Contact
  • Excellent organizational skills and project management
  • Exceptional communication and interpersonal skills.
  • Advanced written communication skills.
  • Advanced Microsoft Office skills.
  • Knowledge of basic accounting/budgeting procedures.
  • Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others.
  • Ability to keep complex records, to assemble and organize data of complex nature, and to prepare andsubmitreports in acceptable formats andin a timely manner
  • Ability to conceptualize, plan and organize multiple programs and assignments effectively.
  • Ability to work on complex and confidential tasksutilizingjudgment, tact, and resourcefulness.
  • Skill in developing andmaintaininggood working relationships.

Compensation: $50,000 / annually
