School/College/Division Description

The Children’s Learning Center at UWM is located on campus and provides excellent care and education for children ages 6 weeks through 13 years of age. The Center has been serving the university community for 50 years and offers both flexible and full-time scheduling options to UWM student, faculty/staff, and alumni families. The UWM Children’s Learning Center is licensed by the State of Wisconsin and accredited by the National Association for the Education of Young Children ( NAEYC ).

Job Summary

The Administrative Assistant Director will be instrumental in overseeing the financial and administrative operations of the UWM Children’s Learning Center. This role requires a blend of financial acumen, leadership experience, and a strong background in Child Care financial operations, or higher education financial operations. The ideal candidate will excel in managing financial processes, supervising staff, and supporting the Center’s strategic goals.

Key Responsibilities Include:

  • Administrative Support: Provide executive support to the Director and senior staff, including calendar management, meeting coordination, and travel arrangements.

  • Office Management: Supervise administrative staff and manage day-to-day office operations, including supply management and maintaining a productive work environment.

  • Financial Management: Oversee financial operations including auditing invoices, purchasing, billing, and accounting. Develop and manage budgets for current and future strategic operations. Handle grant administration and ensure compliance with financial policies.

  • Customer Service: Address and resolve financial-related inquiries from staff, families, and other stakeholders with professionalism and efficiency.

  • Document Management: Prepare and manage documents, reports, and correspondence. Ensure accuracy and confidentiality of financial and administrative records.

  • Enrollment Management: Maintain student and staff records and support enrollment processes.

  • Strategic Planning: Contribute to strategic planning and decision-making processes related to financial operations and budget management.

Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and financial management software. Strong organizational and multitasking abilities. Excellent written and verbal communication skills.

Attributes: High level of professionalism, discretion, and attention to detail. Ability to work independently and collaboratively. Strong problem-solving skills and a commitment to supporting a diverse community.

Minimum Qualifications

Applicants for this position must have or provide evidence of the following:

  • A Bachelor’s degree.

  • Experience with auditing invoices, purchasing, billing, accounting, and software management.

  • Experience providing customer service in financial-related matters.

  • Previous supervision experience.

    Preferred Qualifications

Highly qualified applicants for this position will also provide evidence of the following:

  • Minimum of 5 years of experience in a financial business position.

  • Bachelors Degree in Business Administration or related field.

  • Previous experience in a leadership position that included supervision of management level staff.

  • Previous experience in budget development and management for current and future strategic operations.

  • Previous experience working in higher education financial operations.

  • Previous experience with enrollment management and maintaining student and staff records.

  • Previous experience with grant administration.

    Target Salary Range $75,000
