JOB REQUIREMENTS: Data Services Coordinator Posting Number: NA01420 Employment Status: Full Time Job Family: Operations and Administrative Services Position Overview The Data Services Coordinator has the primary responsibility for maintenance of the advancement database with relation to biographical and contact information on constituent records, and other records within the advancement database. Works to assure overall data integrity and encourages the broadest and highest use of the database by advancement colleagues and campus partners through cooperative development, design and implementation efforts. This position also regularly partners with other teammates to maintain process definitions, and policies/procedures development and enforcement. This position has the opportunity work in a hybrid work arrangement, with at least two days per week worked on campus, along with remote work. Duties and Responsibilities 1. Data Updates & Maintenance Maintain the advancement database (Blackbaud CRM ), utilizing various tools to obtain new or updated constituent data Monitor and maintain UA Data Updates email account for routine constituent data updates and communication preferences Ensure all biographic information is accurately entered and maintained over its lifecycle, including constituent contact information, employment history, relationships and educational history Perform data clean up regularly, including duplicate record reduction Collaborate with prospect research team to locate updated data to assist with donor outreach Run exception reports and queries and coordinate routine data integrity updates and clean-up Complete periodic imports of key data, including new graduates, incoming students, new parents, etc. Create and run import processes to streamline data entry and create efficiencies Provide assistance relevant to the functions of the Reporting, Data and Gift Services teams, as needed 2. Data Assessment & Integration Regularly assess data and technology needs and seek ways to improve functionality, efficiency and accuracy Stay abreast of industry best practices for data management and emerging technology tools and services Help develop and organize timeline for regular data updates and assist with ongoing data assessment meetings with key partners in advancement Assist team with staying organized around various vendor partnerships for acquiring data, tracking on timelines, import processes and disseminating information Work on data integration projects, as needed 3. Data Processes & Policies Assist in the creation and maintenance of data policies and procedures as well as training materials for onboarding new teammates Maintain and continually enhance a robust data integrity program, assuring accuracy and consistency of constituent data and adherence to data entry standards 4. Student Management Train and supervise student workers who assist in the routine maintenance of database records on campus on a regular basis 5. Perform other duties and responsibilities as required, assigned, or requested. Required Knowledge, Skills and Abilities A high school diploma or equivalent is required A minimum of 1 year of related experience. Ability to manage data within a complex database required, along with accurate and efficient data entry. Comfort and effectiveness translating between end users needs and database output. Proficiency in Microsoft Outlook, Word and Excel is also needed. Preferred Knowledge, Skills and Abilities A Bachelor\'s degree from an accredited college and/or university preferred. Prior experience in a not-for-profit institutional advancement setting with knowledge of basic fundraising concepts, or experience with fundraising database products by Blackbaud is desirable. Skill in making presentations and training for internal groups and external individuals is also beneficial. Supervisory experience.
