This position is going to be responsible for interacting (verbal & written) with both the client's and Internal Business Partners. They are tasked with supporting a Relationship Manager and managing the relationships of the Clients they are assigned. Tasks include, but are not limited to, proactively handling and resolving customer inquiries; interacting with internal departments and outside vendors as needed; daily administration of accounts including set-up, maintenance, and oversight according to policies, procedures, regulations; and providing research request support while assisting their Relationship Manager in resolving any day-to-day issues.

Candidates screened need to be interested long term, as training is anywhere from 3-6 months. It’s crucial they have excellent verbal and written communication, attention to detail, a proactive attitude and most importantly have that customer service skills piece! They are the face of Document Custody and are going to be interacting daily with our Clients.

The Admin Associate will be partnering with the Relationship Mangers to ensure reporting and communication with internal and external customers is handled in a timely fashion. Document custody keeps original mortgage and collateral files in safe storage for 3 days to 30 years for Wells Fargo and external customers. Before the files are put into storage teams review these files to ensure the needed documents are present in the file and the documents meet the client criteria. You will be responsible for running and generating reporting that will be sent to the client to give them a recap of the status of their files. It will show what is good and ready to go into storage and it will also so those files that were missing documents or data that the client will need to resend to Wells Fargo. You will use a lot of Excel for reporting purposes. VLookups and pivot tables will be used. You will also be responsible to communicate with the clients via email and phone as needed. You may have to explain reporting or answer other questions as needed. You will use Microsoft Outlook on a daily basis. You will receive requests from clients and the relationship managers via Outlook email.

Handles multiple tasks and priorities that are time sensitive in a deadline driven position. Generating reports from our system of record, creating certifications and trust receipts, researching client issues and information to complete client requests.

Performs a variety of administrative tasks to support one or more lead managers. Duties include: using word processing to compose complex and/or confidential correspondence; handling complex and sensitive inquiries/call from external/internal sources. Provides support for larger projects managed by others. Acts as an information source on departmental/business unit. May work closely with both internal and external customers to meet their service needs. May be responsible for providing support to the business line staff in the areas of reporting, customer/business documentation, sales and service goals.
