Robert Half Administrative Assistant in Minneapolis, Minnesota

Description We are offering a contract to hire employment opportunity for an Administrative Assistant in Minneapolis, Minnesota, in the Professional Services industry. This role primarily involves supporting Project Managers and Principals of various practice areas, handling administrative tasks, and assisting in project management and data analysis.

Responsibilities:

• Assist in the creation of consultant Owner/Architect agreements using AIA software.

• Support Project Managers in maintaining up-to-date staffing data and project timelines.

• Update client contracts with negotiated terms and follow through with edits.

• Submit client contracts to the legal department for review and monitor the review process.

• Send correspondence to Consultants and General contractors as needed.

• Request Certificate of Insurance certificates from the legal department.

• Assist studio leaders with travel arrangements and/or expense reports.

• Organize and schedule meetings and appointments related to projects and areas of practice.

• Assist with the setup for internal meetings and client meetings, including ordering lunches.

• Support front desk operations as needed, including answering phones, receiving, and distributing packages. Requirements • Minimum of 1 year of experience in a similar role within the Professional Services industry.

• Proficiency in Microsoft Office Suite, including Microsoft Word, Excel, Outlook, and PowerPoint.

• Experience with answering inbound calls and managing both inbound and outbound calls.

• Exceptional customer service skills, with a history of maintaining positive relationships with clients and colleagues.

• Demonstrated ability in data entry with a high level of accuracy and attention to detail.

• Experience scheduling appointments and managing calendars in a professional setting.

• Proficiency in email correspondence, with the ability to communicate clearly and professionally through written communication.

• A proactive approach to problem-solving and the ability to handle multiple tasks simultaneously.

• Willingness to learn and adapt in a fast-paced environment.

• High level of integrity and discretion in handling confidential information.

• Excellent organizational skills and the ability to prioritize tasks effectively.
