This Academic Affairs Administrative Associate will work as part of the administrative support team in the Office of the Associate Dean for Academic Affairs, supporting the office in its academic, administrative, and research mission. This position calls for an experienced professional who can multi-task, think proactively, work independently and as part of a team to help educate the next generation of oral healthcare professionals. This administrative professional manages day-to-day operations as well as long range goals, and primarily provides support for curriculum management and faculty development utilizing the latest technology and tools to maintain an efficient workflow in this evolving academic environment. As a representative of the Office for Academic Affairs, this position interacts with students, staff, faculty, university administrators and community stakeholders within the School of Dentistry and beyond. Responsibilities: Curriculum Management Support with the Director of Assessment and Curricular Integration (50%) Manage ongoing efforts to improve curriculum management process and provide appropriate feedback. * Assist in the management of the dental and dental therapy student course review system including the student evaluation process as well as the organization of documentation and reporting of the department's course review outcomes. * Develop knowledge of the AEFIS assessment management system to become School's expert on this system, make recommendations for its use to drive continuous improvement. * Contribute to the curriculum mapping effort through support of the Director. * Engage in the incorporation of course assessment once the mapping process has been implemented * Contribute to and recommend improvements to course evaluation and feedback. * Attend meetings, take and distribute meeting minutes. Administrative Support to Assistant Dean for Faculty Development (40%) * Support the Assistant Dean's office, including: Managing Faculty Continuing Education (CE) sessions, scheduling CE session dates, announcements, promotional materials, and other communications, attending and recording CE sessions, organizing CE recordings on School's intranet. * Partner with the School of Dentistry's Office of Human Resources to welcome and connect new faculty to resources and to schedule quarterly mentor follow-up meetings. Handle all data arising from the faculty development process. * Attend meetings, take and distribute meeting minutes. * Represent the Assistant Dean through timely email, phone calls, and personal meetings as well as responding to inquiries from new and continuing faculty, collaborators, and university personnel on behalf of the assistant dean. * Lead EFS purchasing including POs, expense reimbursements, and purchasing card reconciliation. Support to Associate Dean for Academic Affairs (10%) * Complete special projects as requested by the Associate Dean. * Assist in the facilitation of School and academic affairs special events including events as the need arises. * Attend and complete assigned duties for School of Dentistry student and academic affairs events (e.g., graduation, orientation, senior banquets, etc.) as requested. * Other duties as assigned. In all areas of responsibility: * Find opportunities and implement solutions to improve office efficiency and serv ce to students, faculty and staff. * Attend training courses as needed to stay current and maintain efficiency. * Supervise student workers as needed. Qualifications Required qualifications * please detail all the required qualifications on your application materials * * BA/BS or a combination of related education and work experience to equal four years, including project management experience. * Experience with Microsoft Office programs and tools available in Google Suite. * Experience working with people with a broad range of experience at many levels of an organization and with diverse audiences. * Demonstrated success simultaneously and autonomously running multiple projects and priorities following due dates and under general guidelines. * Demonstrated excellent written and verbal communication skills. * Demonstrated ability to maintain a positive demeanor and flexibility during times of change. * Demonstrated experience with interpersonal, organizational and problem-solving skills, as well as working independently, showing initiative, and meeting due dates. Preferred qualifications: * Knowledge of instructional theory, including assessment. * Proficiency in AEFIS and with learning management systems (LMS), specifically Canvas. * Demonstrated experience managing and manipulating spreadsheets; * Experience in instructional design * Familiarity with PeopleSoft, PCAS, GPAS and Astra * Demonstrated ability to work with a team of colleagues possessing a diversity of work and conflict resolution styles About the Department The University of Minnesota School of Dentistry is the state's only dental school and the only dental school in the northern tier of states between Wisconsin and the Pacific Northwest. We are a regional resource to five states for dental education, consulting services, patient treatment, and ongoing continuing dental education. We educate dentists, dental specialists, dental therapists, dental hygienists, dental educators and research-scientists. We offer advanced degree programs in seven ADA-recognized specialties: endodontics, oral and maxillofacial surgery, orthodontics, pediatric dentistry, periodontics, prosthodontics and TMD and orofacial pain. We educate scholars in oral biology, dental hygiene and oral health for older adults. Dentists from other countries who wish to practice in the United States matriculate through our Program for Advanced Standing Students. Learners have the option to pursue a Masters in Public Health or a PhD alongside their DDS degree. We are the only dental hygiene program in the state associated with a dental school. Offering programs at the baccalaureate and master of science level, our integrated program prepares oral health professionals to collaborate from their first day in the profession. We became the first dental school in the nation to educate dental therapists in 2009. Dental therapists perform basic preventative services, drill and restore teeth for children and adults and remove primary teeth under the supervision of a licensed dentist.
