This is a pivotal communications and coordination role within the Alumni Association, providing the 28-member Board and the CEO with the information and tools needed to effectively lead the engagement of more than 500,000 alumni worldwide. Plan and execute all operations for a 28-member governance board Essential Functions: Plan, organize and execute all UMAA Board of Directors functions, including board and committee meetings to facilitate the board's governance of the UMAA Become a recognized source of knowledge and expertise in board governance best practices to ensure board compliance with the organization's bylaws, policies and fiduciary responsibilities Prepare board and committee meeting materials including board reports, powerpoint presentations, action item briefings, agendas and annotated agendas Communicate regularly with the board regarding UMAA and University news, progress towards goals, upcoming meetings and events, etc. Work closely with executive level volunteer officers to empower them to fulfill their duties, including managing UMAA commitments and travel for Board chair, ensuring they are prepared for meetings, speaking engagements and other events Cultivate strong working relationships with UMAA Board of Directors members, past chairs, and other key volunteers to serve as a trusted "go to" source for volunteer leaders' questions and needs Coordinate preparation for key stakeholder meetings with UMAA past chairs, Board of Regents leadership and others Provide staff leadership to the Nominating and Board Development Committee to support a successful board recruitment and election process that meets the board's needs Develop and manage the budgets and process expenses for the UMAA Board of Directors operations and CEO's office Write, distribute and archive the board meeting minutes, establishing the legal history of the organization Support the CEO in leading the organization and fulfilling the strategic plan Essential Functions: Provide professional and executive level support to the CEO, working closely with the CEO on strategic project planning and implementation Manage the CEO's calendar, scheduling internal and external meetings often with multiple attendees and other University senior leaders, and executive level volunteers. Provide background information for meetings as well as develop or coordinate any advance meeting materials Prepare correspondence and reports on behalf of the CEO Schedule travel arrangements which includes both domestic and international travel Special Projects and Assignments Coordinate UMAA alumni volunteer representatives on University-wide committees Manage athletics tickets and table hosting for UMAA; work with CEO on invitation strategy, extend invitations and manage follow up communications and logistics Assist with office operations projects as needed Assist ith major UMAA events as needed Other duties as assigned that support the success of the UMAA Qualifications The Most Successful Candidate will: Fully engage in his or her work and demand personal excellence in each project. Required Qualifications: Bachelor's Degree or a combination of at least five years of educational and administrative experience successfully organizing and coordinating multiple priorities in a professional environment. Previous administrative support experience working with board members, volunteers or executive-level leaders. Superb organizational skills, accuracy and attention to detail. Excellent oral, written and interpersonal communication skills. Ability to create letters, memos, spreadsheets, PowerPoints and other standard office documents using Microsoft and Google products. Experience and strong skills with calendaring for complex meetings involving groups of people. Experience dealing with senior leaders, colleagues, and the public in a professional, friendly manner while demonstrating the highest level of service and response. Strong writing skills for external audiences including executive communications to volunteers and other stakeholders Preferred Qualifications Experience providing staff support to a Board of Directors in a governance setting. Knowledge of the University of Minnesota Experience preparing meeting minutes. Salary Range: $65,000 - $78,000 Depending on Qualifications. The position is classified as Civil Service.
