Robert Half Executive Assistant in Minneapolis, Minnesota

Description

We are offering a contract employment opportunity for an Executive Assistant in the Financial Services industry based in Minneapolis, Minnesota. The successful candidate will be part of a supportive team, providing assistance to two managing directors and a vice president, plus others. This role involves extensive calendar management, correspondence, and handling travel arrangements.

Responsibilities:

• Rotate with all assistants for the healthcare team within the organization

• Manage calendars and schedule meetings for busy executives

• Handle travel arrangements, including book travel arrangements and manage expenses using Concur

• Provide support during prime-time conference times, particularly with conference details

• Actively participate and contribute to the team, serving as a reliable point of contact for inquiries

• Use CRM and Microsoft Office Suites, particularly Microsoft Excel and Microsoft Outlook, for various tasks

• Prepare and manage documentation as required

• Handle correspondence, including emails, as needed

• Provide support to juniors and associates as required

• Maintain a team mentality, being available and proactive in assisting others on the team.

Skills:

• Proficiency in Concur, CRM, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook

• Exceptional skills in Calendar Management, Correspondence, C-Suite interactions, Documentation

• Experience in handling travel arrangements, including international travel.

Requirements • Minimum of 5 years of experience as an Executive Assistant, preferably within the Financial Services industry

• Proficiency in Microsoft Office Suites, including Microsoft Excel and Microsoft Outlook

• Familiarity with CRM systems and Concur software

• Demonstrated ability in managing calendars and coordinating travel arrangements, both domestic and international

• Experience in providing support to C-Suite executives

• Ability to handle confidential documents and sensitive information with discretion

• Strong written and verbal communication skills for managing correspondence

• Proven track record in organizing and maintaining documentation

• Proficiency in Concur Travel and other travel booking platforms

• Ability to manage multiple tasks, set priorities, and meet deadlines in a fast-paced environment

• Excellent problem-solving skills and attention to detail

• Professional demeanor and a positive, customer-focused attitude.
