Robert Half Executive Assistant in Minneapolis, Minnesota

Description We are seeking an Executive Assistant to join our team in the steel manufacturing industry, located in Minneapolis, Minnesota. This role involves a variety of administrative, organizational, and clerical tasks. The successful candidate will have the opportunity to transition into a contract to permanent employment opportunity.

Responsibilities:

• Manage and maintain an efficient workflow of incoming calls and emails.

• Carry out administrative duties including composing and formatting business correspondence.

• Oversee the bookkeeping of accounts, ensuring accuracy and efficiency.

• Assist in preparations for meetings and conferences, including arranging travel and accommodations as necessary.

• Maintain and update databases, ensuring all entries are accurate and up-to-date.

• Undertake the organization and maintenance of files for contracts, grievances, and other important documents.

• Oversee the ordering of office supplies and the maintenance of office equipment, including arranging for repairs when necessary.

• Provide support to other team members as needed, contributing to a collaborative work environment.

• Ensure the accurate and timely preparation and dispatch of large mailings.

• Utilize skills in Concur, CRM, Calendar Management, Communication, Conference Calls, Correspondence, and Microsoft Excel for daily tasks and basic bookkeeping. Requirements • Proven experience in the steel manufacturing industry

• Proficiency in using Concur for travel and expense management

• Familiarity with Customer Relationship Management (CRM) systems

• Excellent calendar management skills, with an ability to coordinate complex executive meetings

• Strong communication skills, both verbal and written

• Experience in managing and coordinating conference calls

• Ability to manage correspondence effectively

• Proficiency in Microsoft Excel, with a focus on data analysis and reporting

• Basic understanding and experience in bookkeeping activities TalentMatch®
