Work location is onsite during the probationary period (first 6 months) with an option after this training period for a hybrid schedule with an expectation of at least 60% of time onsite and up to 40% remote location, or as approved by supervisor. The anticipated salary range is $50,000-$75,000 depending on experience DUTIES Finance, Planning & Implementation - 35% Support the financial management of the Center as the communications lead with the Finance office; encompassing the following responsibilities: Prepare project cost estimates and budgets and administer department contracts with a high degree of independence. Oversee billing for Center services to internal and external clients. This key responsibility involves receiving, organizing, and tracking a large volume of information from external and internal partners related to purchases and contracting opportunities. Responsible for financial transactions, including purchasing for the department and approval of invoices for payment. Communications & General Administrative - 35% Primary point of contact and liaison of the Center for communications management to internal and external affiliated stakeholders, to include: Draft and prepare written communications to and from project teams such as email correspondence, reports, presentations, and grant content. Coordinate Center faculty and staff by managing complex calendars, balancing competing priorities, ensuring appropriate parties are included in meetings scheduling, as well as documenting, disseminating, and archiving minutes from meetings. Manage, monitor, and approve the time and travel expenses, following Chrome River and University policies for the Center, including reconciling expense reimbursements, purchasing card statements, and contracts to ensure full compliance with University policy. Compliance & Training - 30% Acquire and maintain current knowledge of laws, policies, and procedures governing business practices in our unit, and maintain oversight of all regulatory compliance documentation. Serve as Department Facility Representative and Safety Officer, facilitating Center safety communication, maintaining a working knowledge of Center areas, actively engaging in safety improvement, and visibly advocating for safety. Also could include participating on safety committee(s), consulting on safety training and resources, as well as scheduling and participating in inspections of laboratories and assisting in facilitating follow-up on improvement recommendations Lead recruiting and onboarding efforts in collaboration with HR when new hires are needed for the department to include communications coordination with supervisors, space & administrative planning, budgeting & finance/payroll entries, and facilitating technology/system access. Qualifications All required qualifications must be documented on application materials. REQUIRED BA/BS with at least 2 years of experience, or a combination of related education and work experience to equal six years. Excellent verbal and written communication skills, proficiency with documents and spreadsheets - comparing, verifying, and reconciling data to help department achieve overall objectives. Respectful and inclusive interpersonal skills to en ble working collaboratively with diverse colleagues and clients. PREFERRED Administrative experience in an academic institution or commercial enterprise in the health sciences. Motivation and initiative resulting in independent efforts to contribute to team goals in a timely and effective manner. Well-organized with careful attention to detail. Reliable and accountable project team member. Previous experience with a regulated medical research, testing, or manufacturing organization and the laws governing these activities would be helpful, but the knowledge can also be acquired in this position by a candidate who is an engaged learner.
