Position Overview: Beacon Hill is seeking a highly organized and detail-oriented Temporary Executive Assistant to support our client's CEO while their current Executive Assistant is on leave. The ideal candidate will have excellent writing skills, be proficient with Microsoft Office Suite, and be comfortable handling a variety of administrative tasks, including extensive email communication, calendar management, travel arrangements, and coordinating meetings. This is a temporary position expected to last approximately 4 to 5 months. Key Responsibilities: Support the CEO: - Manage extensive email communication on behalf of the CEO. - Schedule meetings and events using Outlook, managing the CEO's calendar efficiently. - Arrange travel accommodations including hotels and car rentals (minimal flight arrangements). - Utilize Zoom for frequent updates and communication, ensuring smooth virtual interactions. - Handle other administrative tasks as required. Coordinate Meetings: - Plan and coordinate logistics for an onsite meeting with approximately 100 attendees. - Schedule flights, car rentals, and hotel accommodations. - Order food and manage catering services. - Track attendance and ensure all details are accounted for. - Prepare presentations and financial documents using PowerPoint. Coordinate Board Meetings: - Organize onsite board meetings with 10-14 participants. - Take comprehensive notes during meetings and ensure timely distribution. Qualifications: - Proven experience as an executive assistant or similar administrative role. - Exceptional writing and communication skills. - Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint. - Strong organizational and multitasking abilities. - Experience with Zoom for virtual meetings. - Ability to handle confidential information with discretion. - Attention to detail and a proactive approach to problem-solving.
