The Cash Application Specialist’s primary responsibility is to ensure that incoming cash is recorded timely and accurately on a daily basis.  This position works cross functionally and collaboratively to establish efficient processes that contribute to keeping Accounts Receivable balances clean and the general ledger in balance.

The responsibilities of this position shall consist of, but not be limited to, the following:

  • Generate the daily bank reports that provide support for the days incoming cash

  • Daily processing of incoming cash to customer accounts.  Payment types include EFTs, initiating ACH payments, lockboxes, wire transfers, credit card authorizations and remote deposits.

  • Payments are properly credited to customer accounts applying terms discount, creating residuals for short paid invoices and creating deductions to proper branches per remittance details

  • Provide payment support to Accounts Receivable for short paid invoices and deductions

  • Process credit card authorizations and communicate to credit for release of Cash in Advance and Credit Card Only orders

  • Maintain confidential credit card information on the virtual gateway payment system

  • Process cash application requests from Accounts Receivable

  • Update customer master banking information for customers that pay by ACH Pull

  • Collaborate with logistics for posting freight claim payments and clearing denied claims

  • Perform a daily review of general ledger balances by bank account to proactively identify posting issues

  • Perform a daily review of parent customer accounts to ensure all transactions are properly assigned to a branch

  • Performs other duties and responsibilities as necessary

Required Education

  • High School diploma or equivalent

Required Experience

  • 2+ years of experience in accounting or bookkeeping

  • Detail-oriented, able to multi-task, work independently and be accountable to meet deadlines

  • Highly organized with outstanding time management and analytical skills

  • Excellent verbal and written communication skills; must work effectively with all levels of management and employees

  • Proficient in Internet navigation, Excel and Outlook

Preferred: 

  • Associate degree in accounting, bookkeeping or related field

  • 2+ years of experience in cash application
