Robert Half Payroll Specialist in Morgan Hill, California

Description We are looking for a Payroll Specialist to join our team in Morgan Hill, California. This role involves administering all payroll-related functions, ensuring accurate and timely compensation payments to employees, and handling the implementation and ongoing development of the payroll system. The job function requires staying updated on payroll, human resources, and wage and hour regulatory items and handling all related paperwork efficiently and accurately.

Responsibilities:

• Administer all payroll-related functions ensuring accurate and timely compensation payments to employees.

• Implement, optimize, and support the ongoing development of the payroll system.

• Stay current on payroll, human resources, and wage and hour regulatory items, such as minimum wage, meal break penalties, overtime pay, and ACA reporting.

• Input employee hours by receiving and verifying time worked.

• Communicate with employees about missing time and maintain time-off balances for all employees.

• Process all human resources, Medical, Dental, and COBRA paperwork.

• Record new or changed pay rates in the payroll register or computer files and compute pay according to company policy.

• Interpret company policies and government regulations affecting payroll procedures.

• Enter current and/or prior pay period adjustments or manual adjustments in the HR/Payroll system.

• Integrate systems to align with company growth plan.

• Assist and process unscheduled paychecks such as termination and commission checks expediently.

• Review system calculated wages, taxes, and deductions as necessary for accuracy each pay period.

• Ensure managers provide accurate timekeeping data at each business unit.

• Reconcile payroll run with accounting platforms and maintain and secure employee files.

• Work with Human Resources to streamline the employee on-boarding process and train all levels of employees on all payroll-related areas.

• Use Microsoft Office Suite, Sage, proprietary software packages, and standard office equipment.

• Implement administrative systems, procedures, and policies.

• Respond to e-mail, phone calls, and voicemails in accordance with Company standards.

• Ensure all required employment posters are current in all new restaurant locations.

• Support the organizational culture that fosters a results-based team-oriented environment.

• Operate office equipment, software programs, and information technology features effectively.

• Provide excellent service (e.g., accurate, complete, and timely) to clients, vendors, and company staff in a courteous and efficient manner. Requirements • Proficiency in Accounting Software Systems is mandatory

• Familiarity with ADP - Financial Services is crucial

• Experience with Ceridian and IBM AS/400 will be highly valued

• Knowledge of Kronos Timekeeping System is highly desirable

• Understanding of 401k - RRSP Administration is required

• Expertise in using About Time software is beneficial

• Ability to perform Accounting Functions effectively is necessary

• Handling of Accounts Payable (AP) and Accounts Receivable (AR) is essential

• The candidate must be able to work independently and as part of a team

• Excellent communication and interpersonal skills are required

• Strong analytical and problem-solving skills are crucial

• Attention to detail and accuracy in all work is mandatory

• The ability to handle confidential information responsibly is required

• Must have the ability to meet deadlines and work under pressure

• Knowledge of payroll tax laws and regulations is highly desirable

• A bachelor's degree in accounting or a related field is preferred

• Prior experience in a similar role is highly desirable.
