Professional Rank and Salary Range: SG-9; $41,399

Duration: Calendar Year (this position follows a 12-month schedule)

Shift Information: Monday - Friday, 8:00AM - 4:30PM

Brief Description of Duties:

SUNY Morrisville is seeking an Office Assistant 2 to support our Human Resources Department. We are seeking a proactive, detail-oriented individual looking to support our innovative, vibrant campus environment. This position offers a unique opportunity to support our HR department in various administrative tasks while gaining valuable experience in the field.

Important Notice for those appointed under NY HELPS:

  • This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

  • For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At this time, agencies may recruit and hire employees by making temporary appointments. In May 2024, if a temporary NY HELPS employee is satisfactorily performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin.

  • At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

Primary Responsibilities include but are not limited to:

  • Greet visitors entering the HR suite, answer telephone calls, respond to inquiries regarding procedures, oversee general email inbox, schedule meetings, and address more complicated and technical questions for Human Resources.

  • Complete work authorization and employment verifications, complete HR forms, and assist with compiling and circulating paperwork.

  • Coordinate and deliver informational sessions, including new employee orientation programs on various HR/Payroll topics to ensure a smooth transition for incoming students.

  • Check for completeness of onboarding documents; communicate with supervisors and/or employees regarding incomplete forms or additional information requests.

  • Filing both electronically and in hard copy, typing, proofreading, data entry, maintaining files with a high level of accuracy and confidentiality.

  • Oversight of Time and Attendance System and reporting.

  • Run scheduled and upon request reports from other departments within the campus with ability to export into Excel; create pivot tables; manipulate data to create customized reports.

  • Creating/updating forms, schedules and other documents for office and/or college website.

  • Provide administrative support for HR projects, events, and initiatives as needed.

  • Other reasonable duties as assigned.

    Job Requirements:

Non-competitive Minimum Qualifications (NY HELPS appointed):

  • One year of clerical experience.

Competitive Minimum Qualifications (non-NY HELPS appointed):

  • Promotion: one year as an Office Assistant 1; or one year of permanent service in a clerical or keyboarding title allocated to Grade 6 or higher.

Preferred Qualifications:

  • Strong written and verbal communication skills.

  • Excellent interpersonal skills and strong customer-service oriented mindset.

  • Strong organizational skills with ability to multitask and prioritize workload effectively.

  • Must possess an ability to edit, proofread, be detail-orientated and provide grammatical input into tasks.

  • Computer proficiency with Microsoft Word, Excel, and PowerPoint
