Summary This position is located with the Bureau of Indian Affairs, Eastern Oklahoma Region in Muskogee, Oklahoma. Responsibilities Serves as Administrative Support for the Division of Administration, including Acquisitions, Budget/Finance, Property and Self-Determination. Performs a wide variety of administrative tasks such as purchasing supplies and equipment by utilizing prescribed purchasing guidelines and procedures; establishing and maintaining filing systems; Timekeeping functions and preparing and processing documents associated with the travel and timekeeping of the staff. Serves as the telephone receptionist and mail clerk for the Regional Office. Reviews, evaluates and types costs of maintenance and operation and implements reporting system to ensure compilation of adequate data to permit analyzing of programs and program allocations. Works with management in the preparing and completing of the annual property inventory, assisting in completing documents for transfer or disposal of major equipment. Requirements Conditions of Employment Qualifications EXPERIENCE AND EDUCATION REQUIREMENTS: (OPM Operating Manual, Qualification Standards for Clerical and Administrative Support Positions, GS-0303). GS-5: 1 year of full-time specialized experience or the equivalent, comparable to at least the GS-4 in the Federal Service (obtained in either the public or private sector). This experience must include: preparing correspondence; maintenance of logs and clearing and categorizing files or documents to aid in delivery of documents or files to the appropriate file format; word processing; assisting with making travel arrangements; assisting with budget activities; processing time and attendance records; and maintaining office filing systems. OR EDUCATION: Four (4) years of successfully completed education above the high school level. GS-6: 1 year of full-time specialized experience equivalent, comparable to at least the GS-5 grade level in the Federal service (obtained in either the public or private sector). This experience must include preparing and reviewing correspondence; tracking correspondence through a software system, making travel arrangements and processing vouchers; arranging for conferences, meetings, and training sessions; ensuring that all requests for action or information are acted upon and due dates are met; assisting with budget and position paper activities; maintaining office filing systems, responding to general telephone inquiries and correspondence, preparing purchase orders and requisitions, and developing and utilizing software to log information and maintain a database, including mail merges. SPECIALIZED EXPERIENCE: Experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position and is typically in or related to the position to be filled.
