Position Summary:

This position performs a variety of semi-routine, diverse, and confidential duties that involve multi-tasking with efficiency, and maintaining accuracy. The role may include responsibility for ordering and tracking of material purchases, operating office equipment, and maintenance of records, files, and correspondence. This position is responsible for providing accurate and current information by phone, in person, and via e-mail. The Administrative Assistant II will handle highly sensitive and confidential information, and is responsible for the coordination of administrative office functions, and coordinate administrative functions associated with Health program application and admission processes.

Essential Functions:

• Interacts with college staff and Administration, clinical agencies, government agencies, Health and Nursing program faculty and students, and vendors associated with the Health & Nursing programs.

• May lead, monitor, and evaluate Work Study Students.

• Handles sensitive, confidential information managing background checks, drug test results, and immunization records safeguarding information according to HIPPA standards

• Gathers information, researches situations, and interprets and applies college and programmatic policies and procedures.

• Coordinates administrative office functions and special projects.

• Work with Health & Nursing programs student application and admission processes. Responsible for the application site on the program websites.

• Instigate and track clinical affiliation agreements and MOU’s for clinical placements

• Composes and edits official correspondence and other complex and confidential documents.

• Responsible for maintenance and tracking current contracts with EMS, ACEN, and NLN.

• Oversees the receipt and distribution of incoming programmatic applications and works with programs on admission processes.

• Conveys by words and action the values expected by CWI.

• Performs other duties as assigned.

Minimum Qualifications:

• Associate’s degree in business practices or related field and two years of administrative support experience. Three years of experience is preferred.

• Previous experience in a similar role at a college or a university preferred.

• Must possess excellent customer service skills.

• Good oral and written communication skills.

• Must be able to handle a busy office, with multiple phone lines and constant traffic while remaining calm.

• Must be flexible and adapt well to change.

• Must have excellent computer skills.

• Must be extremely dependable.

• Must have good judgment.

• Good knowledge of office support functions including word processing, filing, composing a variety of business documents; reception; gathering and compiling data; and balancing and coordinating a workload for multiple projects.

• Experience using spreadsheet software.

• Intermediate word processing skills.
